Job Details
- Providing project and administrative support to planned giving officers, including but not limited to: managing calendars, coordinating travel arrangements, and preparing and processing expense reimbursements.
- Preparing accurate written material including correspondence, gift and pledge letters, and reports from university databases, handwritten notes, typed drafts or oral instructions.
- Assisting in the planning and implementation of events and donor cultivation for the Office of Planned Giving, OOD, and other university offices as needed.
- Supporting the Office of Planned Giving’s legacy society, including but not limited to, sending invitation packets to donor members, requesting letters of acknowledgement from university leaders, and maintaining the legacy society honor roll.
- Helping support other projects and professionals in the Office of Planned Giving, including the Manager of Estate Services.
- Running calculations, charts, tables, and reports using the PG Calc software, Oracle, PostGrads systems, CARD (Salesforce) database, and Excel.
- Handling scanning and electronic storage of records in PostGrads and CARD database.
- A commitment to promoting and supporting an environment of diversity and inclusion.
- Maintaining files for estate and trust program as well as donor files - includes filing, scanning, updating logs and tracking documents to be processed.
- Preparing drafts of legal documents (will provisions, trust agreements, deeds, tax forms, etc.) and related materials (projections of trust payout, income tax deductions, present value analysis, etc.) as needed.
- Inputting, updating and retrieving information in CARD database and in reports or spreadsheets regarding donors, estates, and trusts.
- Providing general support to the Office of Planned Giving, including but not limited to, answering the office’s phone lines, managing the inquiries to the Office of Planned Giving via phone, email and mail, documenting donor inquires, and assisting other department members as needed during special events and when colleagues are out of office.
- Managing special projects assigned by planned giving officers and manager requiring a high degree of initiative and the use of excellent judgment.
- Bachelor's degree and one year of relevant experience or combination of education and relevant experience.
- Demonstrated ability with Microsoft Office suite.
- Knowledge of database systems. Ability to acquire proficiency in Stanford information and financial systems (CARD, Oracle, etc.)
- Good judgment and the ability to handle confidential information and sensitive situations with discretion and tact.
- Ability to work efficiently, juggle tasks simultaneously, meet deadlines, and achieve goals.
- Excellent interpersonal skills and ability to interact with a wide range of people.
- Outstanding communication skills and exceptional attention to detail and follow-through.
- Previous experience within a planned giving, fundraising, and/or higher education environment would be a plus.
