Provide administrative support to the Office of Diversity and Inclusion and/or Manager. Duties include general clerical, receptionist and project based work. Project a professional image through in-person and virtual interaction.

Primary Responsibilities:

  • Provide first line communications by answering telephones and transfer to appropriate Office member; receiving written communications (mail); establishing virtual communications for members of the Office
  • Meet and greet students and visitors to the Office
  • Create and modify documents using Microsoft Office Suite - Word, Excel, PowerPoint, and Outlook
  • Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
  • Maintain an electronic filing system - the Office storage Y-drive
  • Sign for and distribute packages - UPS/Fed Ex/Airborne/Amazon
  • Research, price, purchase and store office supplies
  • Coordinate and maintain records for Deans’ calendars, office space, phones, parking, and office keys
  • Setup and coordinate Office meetings and conferences
  • Maintain both the website and the email list serve with the support of BU IT
  • Maintain BU computer inventory
  • Other duties as assigned

Additional Responsibilities:

  • Provide office orientation for new employees.
  • Arrange accommodation and entertainment for Office visitors

Required Skills
  • Moderate reading, writing, and computational skills required. An undergraduate degree (BS,BA) is preferred, but not required
  • Knowledge of Microsoft Office and telephone protocol. Duties require professional verbal and written communication skills and the ability to type 50 wpm. Three years of clerical skills would be preferred
  • Experience with Word press, Constant Contact or other platforms necessary in maintaining a website and email list serve

Working conditions are normal for an office environment in an Academic Medical Center
