The Administrative Assistant for Business Operations in Enrollment Management is responsible for assisting in daily operations and coordination of the general office, fiscal and department administration for Enrollment Management. Coordinates planning office and division events, and service activities. Responsible for calling in equipment repairs and notifying the team including the front desk, and the receiving, organizing and storing of supplies. Will provide back-up as reception, telephone, mail, fax etc. Answer the Vice President for Enrollment Management’s phone. Provide assistance in Enrollment Management to physical operations to ensure effective and efficient workflow, adheres and promotes a service culture with enthusiasm, perseverance and patience and from a service minded perspective.

50% Coordinate department, office, VP and division-wide meetings and events well in advance. Including but not limited to: reserving/securing space, creating invitations/announcements/decorations, tracking RSVP’s ordering food, set-up/break down of events, surveys.

35% Enter business expense reimbursements for travelers within Enrollment Management using established procedures, regulations, and organizational objectives. Process invoices for payment, create purchase orders, reconcile Purchasing Cards and Travel Cards. Examine budget estimates and proposals for completeness, accuracy and conformance with established procedures, regulations, and organizational objectives. Orders receive, organize and store office and breakroom supplies.

15% Serve as back-up for the Enrollment Management reception and customer service area. Ensure effective and efficient workflow, adheres and promotes a service culture with enthusiasm, perseverance and patience and the ability to serve as a positive change agent.

Other Duties as assigned.

Minimum Qualifications: High School diploma or equivalent is required. Some college preferred. 3-5 years progressive business operations experience required, preferably at the University of Miami. Intermediate skills using Microsoft Word and Microsoft Excel. Must be self-motivated and highly dependable. Have the ability to work independently in a highly demanding, fast paced environment, must be well organized with attention to detail, must be able to multitask under time constraints and priorities. Excellent interpersonal and communication skills with talent to work across all functions and at all levels throughout the organization and external parties. Team player to support the delivery of goals and objectives. High personal standards of integrity, ethical behavior, fairness and respect in dealing with team members. Consistently displays the ability to be helpful, respectful, and approachable. Must be service-minded and have strong follow-up and follow through skills. Any appropriate combination of relevant education, experience and/or certification may be considered. May be asked to work extended hours, if needed.
