The Department of Surgery is currently seeking a Sr. Division Administrator. The incumbent in this position assumes responsibility for supervision and performance management of all assigned staff including making decisions as they pertain to hiring, training, evaluation, promotion, and termination. Manages daily operation and performance of the staff and directs them in achieving the division goals and objectives. Responsible for processing all new hires, terminations, promotions, transfer and leave documentation for divisional staff. Reviews and takes ownership over the fiscal management of the division’s budget including annual budget preparation, budget reporting, reimbursements, disbursements, and chargebacks. Maintains knowledge of and assures departmental compliance with UM policies along with policies and procedures, and applicable regulatory requirements and accreditation standards (Human Research Committee, Animal Care, and Use Committee, and other University Committees). Ensures the division complies with all federal, state, and local regulations. Oversees the daily procurement operation, monitors the workflow, and manages support staff. Manages the procurement practices and procedures within the division. Assumes responsibility for budget approval of divisional purchase requests. Manages division renovation projects including coordination with vendors for equipment/furniture/facility repairs. Supports divisional initiatives as required or needed. Seeks problem resolution and ensures that the solution is within the established divisional guidelines. Recommends methods to improve daily business operations and functions to departmental management. Coordinates and implements as required. Researches assigned projects/issues, identifies course of action and makes recommendations as appropriate. Identifies areas of improvement and implements an action plan or initiative to meet divisional goals and objectives. Other duties as assigned

Fiscal and Clinical Operations:

Responsible for maintaining accurate records and preparing clear and accurate reports for informational, auditing, and operational use. Assists in the preparation of the annual operating budgets of sponsored and non-sponsored accounts for specific divisions and oversee the annual operating budget for all clinical and basic science research divisions and centers within the division per annual budgetary guidelines issued by Medical Finance. Prepare ad-hoc reports to include, but are not limited to, financial, productivity, and variance analyses. Development and implementation of the division operations as it pertains to operation efficiencies, compliance policies, and processes to continuously improve team members’ developments.

Education Requirements (Essential Requirements):

Bachelor’s degree in Business or related field; Master’s degree preferred

Experience:

Eight to ten years of work experience in a leadership role with broad exposure to fiscal and operations management
