JOB PURPOSE:

The Access Services Assistant supports research services within the Hoover Institution Library & Archives. The assistant supports circulation and stacks maintenance, and assists with reading room operations under general supervision, exercising some initiative.

CORE DUTIES:

Public Interaction, including job duties such as:

  • Perform routine circulation functions such as charging, discharging, and managing holds
  • Perform routine library privileges services according to established policies and procedures: create/update library cards and issue borrowing privileges. Assist patrons with access problems, route problems to supervisor.
  • Answer informational and ready reference questions in person and via email with clarity, accuracy and professionalism
  • Instruct users in the use of library catalog and other basic informational resources
  • Enforce reading room rules and security


Materials Processing, including job duties such as:
  • Receive and prepare new acquisitions and items paged from offsite storage facilities
  • Process new books and archival material prior to shelving and notify requesting patrons of availability
  • Receive and process items from auxiliary libraries and/or offsite storage facilities; prepare return shipments
  • Compile basic container lists and/or indexes of archival materials
  • Use appropriate equipment and software for reproduction of primary source materials


Collection Maintenance, including job duties such as:
  • Shelve newly cataloged or returned books and archival material in correct classification order
  • Maintain shelf space in stacks and reference areas
  • Box, barcode, and/or prepare material for shipment
  • Screen and evaluate circulated materials for a variety of treatment options (i.e. repair, bindery)
  • Perform searches for missing items


Computing Support, including job duties such as:
  • Use on a daily basis common computer programs such as word processing, spreadsheets, Web browsers, and email
  • Monitor library email account and reports
  • Edit library web pages as needed; monitor and update links
  • Assist users and perform basic troubleshooting for library technology such as photocopiers, printers, microfiche readers, etc.


Building duties, including job duties such as:
  • Opening and/or closing activities such as managing doors, lights and computers
  • May perform walk-throughs to monitor or clear the building of all patrons
  • Investigate door alarms, report building or patron incidents to supervisors, Facilities, and/or public safety as appropriate


Supervision, including job duties such as:
  • May train, schedule or supervise student or hourly staff in routine service desk operations or routine collection maintenance activities. Assist supervisor in hiring or coaching hourly or student staff.

MINIMUM REQUIREMENTS:

Education & Experience:

Two-year college degree plus one or more years of experience in an academic library, or equivalent combination of education and relevant experience. Preference for work experience in a large manuscript or archival repository.

Knowledge, Skills, and Abilities:
  • Experience with direct interaction with patrons
  • Demonstrated computer literacy with word processing, spreadsheets, and communication software such as email
  • Demonstrated interpersonal and organizational skills
  • Able to apply judgment in choosing procedures and evaluating alternatives
  • Demonstrated ability to perform detailed tasks accurately and efficiently
  • Possess strong communication skills in English
  • Demonstrated ability to be flexible and work well under pressure
  • Record of excellent attendance
  • Demonstrated supervisory experience


Desired/Preferred Knowledge, Skills and Abilities:
  • Experience using library automated systems (e.g., Aeon, ArchivesSpace)
  • Knowledge of Library of Congress call number systems
  • Strong interpersonal communication skills
  • Basic knowledge of computer and photocopy/scanning equipment technology


Certifications and Licenses:
  • None


PHYSICAL REQUIREMENTS*:
  • Must be able to stand for many hours
  • Perform desk-based computer tasks.
  • Work with books and in places that may be dusty.
  • Frequently twist/bend/stoop/squat, grasps lightly/fine manipulation, grasp forcefully, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 15 pounds.
  • Occasionally stand/walk, reach/work above shoulders, write by hand, kneel/crawl, climb (ladders, scaffolds, or other).
  • Occasionally use a telephone, operate hand controls.
  • Must be able to push and maneuver a fully-loaded cart weighing up to 650 pounds that requires an initial push force up to 50 pounds. Ability to lift 40 pound boxes or bundles.

WORKING CONDITIONS:
  • May work in confined spaces and at heights 4-10 feet; be exposed to dust and mold; may work extended hours, evenings and weekends.
