The Assistant Director of Admissions will be an articulate, organized, dynamic and enthusiastic team player. Excellent organizational and management skills are necessary. The responsibilities will include the principle duties as noted below in addition to recruiting responsibilities.
Principal Duties: Assist Director of Admission with, but not limited to, hiring, managing, and training staff and assessing performance.
- Responsible for engaging in and mentoring others in best practices to contribute to the team’s overall success.
- Clearly articulates the mission and value of the university to prospective students.
- Provides superior customer service to students through the entire admission process.
- Consistently achieves performance goals for each term or semester by maintaining targeted conversion metrics at each stage of the admission process.
- Responds to all new inquiries quickly and maintains consistent communication with all students throughout the admission process.
- Conducts personal interviews to qualify prospective students on their educational goals and interests, to explain available academic programs, to advise them on admission requirements, and to ensure that all admission paperwork is completed properly.
- Provides more in-depth consultations for undecided students. Serve as a back-up to support other management responsibilities as needed/delegated.
- Support Director of Admissions with recruiting individuals from diverse backgrounds and cultures in addition to serving and supporting current staff.
- Manage and produce weekly reports to drive improved performance. Oversee file review process (ensure applications completed, reviewed and decisions are rendered in a timely manner).
- Facilitate recruitment management efforts.
- Oversee product knowledge training of new staff and facilitate continual training for all admission staff.
- Monitor and manage conversion rates for mentees and provide strategic plan for improvement.
- Assist in developing, implementing, and monitoring the admissions recruitment strategy.
- Co-manage daily operations.
- Review and modify all outgoing written communications for relevance and accuracy.
- Contribute ideas and strategies that will aid in meeting and exceeding enrollment goals and fulfilling institution mission.
- Build and maintain productive relationships with admissions team members.
Perform other duties as assigned.
- Principle Admission Counselor Duties:
- Establishes and maintains contact with prospective students throughout the admissions cycle in a timely and professional manner.
- Completes a high level of outbound calls per day to reach prospective students in a timely manner
- Clearly articulates the mission and value of TCSPP to prospective students.
- Conducts personal consultations to qualify prospective students on their educational goals and interests, to explain available academic programs, to advise them on admission requirements, and to ensure that all admission paperwork is completed properly.
- Provides more in-depth consultations for undecided students.
- Produce weekly applicant and inquiry reports.
- Review and evaluate admission applications before sent to department faculty for review.
- Perform other duties as assigned.
Essential Knowledge, Skills, and Abilities:
Excellent communication skills (writing, public speaking, interpersonal and public relations skills).
- Demonstrated experience in the training and development of Admission Counselors.
- Ability to travel and work evenings and weekends.
- Ability to clearly and persuasively articulate the mission of The Chicago School to prospective students.
- Ability to self-initiate and execute with minimal supervision.
- Demonstrated leadership, organizational, time management and planning capabilities in the Senior Admissions Counselor position.
- Computer skills including word processing, database management and power point (experience with CampusVue a plus).
- Ability to use software applications including databases to track information and produce reports.
- Ability to represent The Chicago School in a professional manner.
- Ability to recruit and work within a diverse community and at a post-baccalaureate level.
- Must be knowledgeable of trends in higher education and principles of enrollment management.
- Bachelor’s degree required, Master’s degree preferred.
- Two to three years of admission experience required.
- A minimum of one year of experience as a Senior Admissions Counselor with The Chicago School of Professional psychology and exceeds expectations with the most recent performance review in the Senior Admissions Counselor role.
- Ability to travel and work evenings and weekends is required.
