Position Summary

The selected candidate will function as the fiscal officer, unit HR representative,grant administrator and administrative assistant to the chairperson in the Department of Finance; acts as budget and office manager for the department; reviews and approves financial transactions, reconciles ledgers for the unit, responsible for budget and financial forecasting, compiles and analyzes information to prepare financial reports; verifies and authorizes purchases and billings, reviews and processes contracts, assists with grants post-award; processes faculty HR paperwork; oversees scholarships and fellowships processes; interviews, hires, trains, supervises, and evaluates support staff and student employees; participates in facilities management; interacts with University, College, and department administrators, faculty, staff, and students to exchange information and resolve issues; oversees the administrative functions of the department.

Unit Specific Education/Experience/Skills

Knowledge equivalent to that which normally would be acquired in the first two or three years in college, technical, vocational or business school with coursework in office management and business; one to three years of related and progressively more responsible or expansive work experience in office management, budget preparation, financial and administrative record-keeping and secretarial skills; experience in word processing, spreadsheet, database, desktop publishing, and/or web page design or presentation software; or in performing responsibilities related to the operational activities of the employing unit; and may require one to three years of supervisory experience; or an equivalent combination of education and experience.

Desired Qualifications

Three to five years of related and progressively more responsible or expansive work experience, including supervision, office management, budget management, and accounting ledger maintenance; proficiency in the use of word processing, database, spreadsheet, and presentation software; experience in overseeing operational activities of a department; or an equivalent combination of education and experience.

Experience with MSU policies and procedures, including academic and non-academic hiring policies and procedures and budget process; extensive experience with University electronic systems; proficiency in SAP, Kuali, Business Intelligence, Microsoft Office software (Word, Excel, Access and Powerpoint), PageUp, Student Information System (SIS), eGradFel system, and Course Load Instruction Funding Modeling System (CLIFMS); strong interpersonal and organizational skills; ability to organize and prioritize multiple projects to meet deadlines; experience in budget development and analysis.
