The Stanford University Occupational Health Center (SUOHC) was established in 2007 to care for the occupational health needs of Stanford University faculty and staff and is dedicated to providing outstanding clinical care to improve the health and safety of University employees. The SU and SLAC Occupational Health Centers are campus-based medical clinics that offer evaluation and treatment for work-related injuries and illnesses, work-related preventive medical services, and OSHA- and departmentally-mandated medical surveillance programs.

EH&S seeks an experienced Medical Assistant for a 1 year fixed-term position with a background in both clinical and administrative Occupational Medicine. This position will reside within the Stanford University Occupational Health Center (SUOHC) and will primarily focus on the SARS-CoV-2 response, working with the COVID medical response team to phone triage those with symptoms and conduct exposure assessment as part of contact tracing efforts. Additional duties may include working closely with the clinical staff and medical assistants in SUOHC to provide flu vaccination, monitor COVID testing, and assist with general clinic duties, including phlebotomy.

In this role, you will:
  • Administer program components and processes for COVID screening and case response, conducting and reviewing health risk assessments for immediate management needs.
  • Update medical chart and related electronic patient and office databases.
  • Monitor program participation and compliance, assist with regulatory audits, and provide necessary reporting and documentation.
  • Coordinate with Risk Management and the Environmental Health and Safety staff to provide required data. Respond to first level inquiries from patients, human resources, university departments, and outside of the university regarding sensitive information.
  • Perform phlebotomy and vaccinations, administer clinical screening tests (hearing tests, visual test screening, pulmonary function tests, and fit testing). Prepare blood for laboratory tests; ensure samples are ready for delivery with all appropriate documentation.
  • Serve as a contact for SU department representatives to coordinate periodic exams, monitor compliance utilizing EHR system, existing databases, and MS Excel.
  • Follow-up to assure laboratory test results are received and communicated to the patient in a timely fashion.
  • Review under the direction of OHC clinicians, medical questionnaires and determine whether clinic visitation or additional medical services are appropriate. Inform participant of additional screening needs.
  • Perform qualitative and quantitative N95 fit testing as indicated, including for large group fitting.
  • Assist in the training of the Health Check process (an on-line tool supported by a robust IT platform), and then, supported by the clinical medical staff, will perform administrative follow-up with employees who are restricted by HealthCheck in order to maintain the health and well-being of the campus.
  • Assist in the seasonal flu vaccination program, as well as with COVID testing itself (with the logistics of test kit collection).


To be successful in this role, you will bring:
  • Associate degree and two years of related experience, or a combination of education and relevant experience.
  • Proficiency in the Microsoft suite of applications, including Outlook, Excel, and Adobe Acrobat.
  • Demonstrated commitment to personal responsibility and value for safety, shown through communication of safety concerns and the use and promotion of safe behaviors based on training and lessons learned.
  • Demonstrated understanding of universal precautions used during exposure to blood, bodily fluid, or tissues. Ability to productively engage and influence cross-functional teams.
  • Ability to productively engage and influence cross-functional teams.
  • Demonstrated ability to handle confidential and sensitive information (written and verbal) with tact and diplomacy.
  • Ability to communicate in English, both verbally and in writing.
  • Ability to apply HIPAA training in all work interactions (verbal and written).
  • Basic understanding of medical terminology.
  • Ability to follow standard operating procedures to prioritize tasks, as well as troubleshoot unplanned situations and complete duties with minimal supervision.


In addition, our preferred requirements include:
  • Prefer candidate with 3-5 years' experience working in an onsite academic or industrial occupational medicine clinic setting that provides medical surveillance testing and injury care beyond initial triage and first-aid.
  • Experience in the COVID response or public health assessments a plus, as well as projects of moderate size/complexity, with demonstrated independent work.
  • Experience with medical surveillance programs such as Tuberculosis screening, Hearing Conservation, Respiratory Protection, and Lab Animal Research.
  • Strong knowledge of occupational health, including California's workers' comp system, in an academic environment.
  • Medical Assistant Certification by a national or private association (or willingness to obtain within six months of employment).
  • Ability to communicate in Spanish highly desired; other languages a plus.
