Residential & Dining Enterprises (R&DE), the largest auxiliary organization at Stanford University, supports the academic mission of the University by providing the highest quality services to students and other members of the university community. The Department has an annual operating budget of over $270 million, oversees a 5 million sq. ft. physical plant across the campus, and provides housing for over 13,000 students and dependents, serves over 18,000 daily meals at 30 dining and retail locations and over 300,000 meals at Athletic Concessions events, and hosts 20,000 conference guests annually. Additionally, R&DE comprises 735 FTE staff in the following divisions: the Office of the Senior Associate Vice Provost, Student Housing, Stanford Dining, Stanford Hospitality & Auxiliaries, Stanford Conferences, and a team of R&DE strategic business partners: Finance & Administration, Human Resources, Information Technology and Communications.

DESCRIPTION:

Residential & Dining Enterprises, the largest auxiliary at Stanford University, provides housing for over 12,000 students, serves over 18,000 daily meals at 30 dining and retail locations and over 500,000 meals at Athletic Concessions events, and hosts 20,000 conference guests annually. It has an annual operating budget of well over $200 million, oversees a 5 million sq. ft. physical plant across the campus and comprises of 760 FTE staff.

JOB PURPOSE:

Perform, independently, moderately complex finance functions and/or activities related to transactions, accounting, budgeting and forecasting requiring specific knowledge, skills, and broad application of policies, precedents, and systems within context of internal policies and external regulations. Manage payments and purchase orders for off campus housing. Track lease records and prepare reporting

CORE DUTIES*:

  • Maintain lease and occupancy records and prepare reports; track renewals
  • Manage the invoice and payments for off campus housing and ensure timely payments for rent, furniture, utilities and miscellaneous items
  • Issue purchase orders and maintain adequate funding for scheduled services, rent, furniture and utilities.
  • Evaluate key controls, develop new processes for streamlining existing procedures, templates and reports for enhancing controls.
  • Analyze financial data and create journal entries to record operational transactions.
  • Monitor timely processing of P Card, Travel Card, expense reimbursement and Petty Cash transactions. Follow up on resolution of issues. Subject to appropriate separation of duties, process transactions as needed.
  • Perform bank reconciliation functions, including error/discrepancy resolution.
  • Perform moderately complex finance functions, including structured analysis; conduct data mining; identify, clarify, and investigate discrepancies and exceptions; proactively develop solutions and processes.
  • Maintain, reconcile, review, combine, and validate moderately complex financial data sets, including large volumes of data, financial reports, financial databases, and key financial information.
  • Develop budget, forecasting, and analyses to be used by internal management for key activities or decision making.
  • Resolve issues within immediate work unit; apply ingenuity and creativity to problem analysis and resolution, and recognize exceptions. Perform preliminary analysis, and recommend solutions that may require policy changes or the development of new processes.
  • Run and analyze moderately complex financial reports, often from multiple systems; assist in preparation of management information reports.
  • Understand, apply, and ensure compliance with complex internal policies and external regulations which may require interpretation.
  • Resolve transactional inquiries, escalate broader issues, and respond in a professional and timely manner.
  • Participate as a member of a project team; support new initiatives; cooperate and adapt to changes and processes. Participate in change management strategy through communication and collaboration with others.
  • Contribute to development and maintenance of desktop procedures and process documentation for area of responsibility.
  • Understand and participate in cross training on core functions in work area or unit; serve as a back-up to other functions.
  • May supervise the day-to-day activities and provide on the job coaching and training to other staff, as needed.

MINIMUM REQUIREMENTS:

Education & Experience:

Bachelor’s degree and two years relevant experience or combination of education and relevant experience.

Knowledge, Skills and Abilities:

-Advanced proficiency in business applications, such as Microsoft Office suite, especially Excel.

-User knowledge and demonstrated experience of financial systems; internet and computer literacy.

-Understanding and ability to apply basic accounting skills and concepts.

-Demonstrated communication skills, including ability to prepare materials for and clearly and effectively communicate information to internal audiences and client groups.

-Basic project management skills and ability to contribute as part of a project team.

PHYSICAL REQUIREMENTS*:

-Constantly sitting.

-Frequently perform desk-based computer tasks, use telephone, writing by hand, sort/file paperwork.

-Occasionally stand/walk, lift/carry objects weighing 11-20 pounds.

-Rarely reach/work above shoulder.

WORKING CONDITIONS:

-Routine extended working hours during peak cycles; travel to school/unit sites across university and off campus housing locations.

-Occasional late night and weekend work.
