Responsible for providing professional support to the DSH Dean, initiating all Financial/HR transactions, and managing the DSH administrative offices.
Provides professional administrative support to the DSH Dean. Coordinates departmental meetings and provides meeting agendas. Creates travel itineraries for the Dean as needed. Develops teaching schedules each semester in collaboration with DSH Dean, Sr. Administrative Specialist, and Academic Program Specialist. Builds courses in Student Central, assigns classrooms in Ad Astra, enters textbook information for faculty, and submits large lecture hall requests. Collects syllabus information from faculty each semester.
Responsible for all HR appointments for DSH. Creates job openings, assists new employees with on-boarding, initiates personnel actions, completes I-9 forms, and submits all supporting documentation to complete hiring processes. Monitors and tracks all transaction to completion, resolving any discrepancies. Assists employees with time and leave reporting, and ensures supervisor approval. Reviews bi-weekly Active Employees and Cost Center Reports, and obtains approval on bi-weekly payroll certifications. Completes separation checklists and leave audits for former employees. Inputs all faculty Assignment of Responsibility forms and generates faculty contracts.
Initiates all financial transactions for DSH and ensures prompt payment to suppliers. Enters requisitions to purchase goods and services for the department, creates receipts for completed purchase orders, and processes payment requests for unencumbered payments and petty cash replenishment. Serves as the departmental travel representative by entering travel requests and expense reports in Concur. Reimburses faculty/staff for non-travel expenses through Concur. Inputs scholarships into the FS4U system.
Responds to general inquiries about the school and redirects to the appropriate individuals if necessary. Gives tours of the department to prospective students and their families, as well as industry representatives.
Serves as the office manager for DSH administrative offices. Completes room reservations, maintains office supply inventory, checks out departmental keys, validates parking for DSH guests, manages incoming/outgoing mail, and supervises OPS/FWS administrative employees. Facilitates new office assignments, and enters work orders for maintenance. Provides recommendations to DSH Dean and Sr. Administrative Specialist regarding any office needs.Qualifications High school diploma or equivalency and four years experience or a combination of post high school education and experience equal to four years.
Experience gathering, interpreting, reporting, and/or editing information.
Experience prioritizing, organizing, and performing multiple work assignments simultaneously.
Experience working with Microsoft Office, Excel, and other applicable computer applications.Anticipated Salary Range Upper 20's to lower 30's, commensurate with experience and education.Pay Plan This is an USPS (University Support Personnel System) position.Soft Money Funded Position This is a soft money funded position, with renewal based on available funds and the needs of the University.Schedule If not otherwise specified, schedule is M-F, 8-5.Criminal Background Check This position requires successful completion of a criminal history background check.
