Proficient in Excel and previous experience with budget spreadsheets in a work setting;
Experience with a financial software package appropriate for use in a large institution;
Knowledge of hiring management;
Ability to establish a rapport with departmental personnel;
Effective communicator in verbal and written correspondence.Preferred Qualifications:
Working knowledge of SAP, including running and interpreting reports, making budget adjustments, e-IDT and e-NO creation;
Working knowledge of PCR preparation and related tasks;
Knowledge of university, college and departmental policies and procedures and Southern Association of Colleges and Schools criteria;
Experience processing faculty and/or student hiring;
Experience processing travel applications and reimbursements;
Ability to evaluate multiple funding sources;
Ability to evaluate MOU’s and grant requirements for compliance in spending;
An earned Bachelor’s degree or higher.Job Description:
Responsible for coordinating all budget related matters by verifying compliance for funding sources, personnel budget changes and appointments.Job Duties:
Prepare personnel change requests (PCR’s) for Department of Mathematics employees including faculty, graduate students, hourly student workers, grant workers and staff in compliance with university policy and procedures;
Record budget transactions, reconcile monthly budgets, and resolve any discrepancies with budgeting, grant accounts, purchasing, University Advancement (Endowments), Academic Affairs and other areas as appropriate;
Prepare budget transfers as needed;
Process faculty, graduate student, and visitor travel requests;
Assist faculty grant managers with all day to day budget related matters;
Assist faculty and the Budget Committee as needed;
Enter new employees in HireRight, review all I-9 documentation to verify identity and eligibility to work, complete the process in HireRight;
Check for compliance on graduate student and hourly student worker hires;
Analyze salary budgets and budget transactions for the Department of Mathematics,
Prepare reports as needed;
Confirm salary review forms, manage departmental workload reporting and adjustments, providing technical assistance and answering questions;
Manage a variety of funds;
Ensure that funding for visitors, external speakers, etc. comes from external sources whenever possible;
Compliance with MOU’s for endowment spending and with grant requirements;
