NAU is transitioning the rest of campus to a shared-service model spring 2021.We are looking for eager and ambitious change agents to join the brand-new service teams and help implement a new university-wide model for service delivery.

We will consider applicants for both the Specialist, Senior and Coordinator, Intermediate levels. Only one (1) application is necessary, even if you are interested in both positions. Applicants may be invited to interview for one or both of the positions after their education, experience, knowledge, skills and abilities have been reviewed and evaluated. These roles will work with service recipients to process financial and finance-related transactions. Scope of work may change as full implementation of the Service Team is realized.

Job Description

Financial Administration Specialist, Senior

Processes financial and financial-related transactions to ensure compliance with standard procedures and guidelines are followed.

Responsibilities include:

  • Assembles, researches, and summarizes information from various sources or performs simple calculations to support financial transactions.
  • Initiates procurement of goods and services on behalf of service recipients; and liaises with vendors to initiate vendor set-up in the university financial system, request quotes and final invoices, arrange for delivery of goods and services, etc.
  • Utilizes PeopleSoft to execute transactions in a timely and accurate manner – requisitions, expense reports, journal entries, position funding changes, etc.
  • Initiates and completes Travel Specialist functions for service recipient departments, including but not limited to: booking travel, initiating the Exhibit J form, processing travel reimbursements, etc.
  • Prepares deposit documents for all types of tender.
  • Organizes and maintains appropriate documentation to ensure compliance with university policy and process.
  • Tracks multiple processes and transactions and identifies issues or delays, following-up with central offices and service recipients to facilitate consistency in workflow for purchasing of goods and services, booking travel, payment processing, etc.
  • Receives and responds to inquiries from service recipients regarding financial procedures and policies.
  • Escalates issues and questions to Financial Administration Coordinator and/or the Assistant Manager, Financial Administration.
  • Suggests process improvements and new procedures to improve the efficiency and effectiveness of key transactions for such flows as purchasing, travel and expense, cash handling, deposits, and journal transfer procedures.
  • May arrange appointments and meetings.

Financial Administration Coordinator, Intermediate

Applies generally accepted accounting principles and procedures in working with specialized accounting records and reports. Assembles and analyzes data and transactions; and prepares statements and reports relating to assigned areas of responsibility.

Responsibilities include:

  • Coordinates purchasing-related activities within service team to ensure proper prioritization, sequencing, and timing.
  • Initiates and tracks central document approval requirements on behalf of service recipient departments, including but not limited to: eContract Signature Requests, Justification for Exception to Policy, PCard Notice of Violations, etc.
  • Reviews, prior to processing, completed travel and expense documentation submitted by service recipients for compliance with policy.
  • Completes monthly internal reviews and reconciliation of various financial transaction types, including but not limited to: department revenue deposits for all types of tender, participant incentive gift cards, etc.
  • Reviews and approves Service Team Specialist’s PCard expenses, confirming appropriate and accurate recording of transactions.
  • Acts as a primary point of contact for service recipient units seeking day-to-day financial administration support.
  • Trains service recipients on use of service team ticketing system.
  • Provides policy guidance and clarification to service recipient units as well as other service team members.
  • Answers finance-related questions and escalates issues to the Assistant Manager or Manager, Financial Administration when appropriate.
  • In conjunction with the Manager, Financial Administration, recommends and implements process improvements and new procedures to improve the efficiency and effectiveness of key transactions for such flows as purchasing, travel and expense, cash handling, deposits, and journal transfer procedures.

Minimum Qualifications

Financial Administration Specialist, Senior

  • High school degree or equivalent AND
  • 1-3 years of accounting experience.

Financial Administration Coordinator, Intermediate

  • Bachelor’s degree in accounting or related field AND
  • 2-4 years of accounting experience, OR
  • Any equivalent combination of experience, training and/or education.

Preferred Qualifications

Financial Administration Specialist, Senior

  • Associate’s degree in accounting, finance, or related field or equivalent.
  • Experience in financial administration.

Financial Administration Coordinator, Intermediate

  • Coordinator - Accounting or fiscal administration experience in higher education.

Knowledge, Skills, & Abilities


  • Working knowledge of NAU financial processes and procedures related to purchasing, accounting, and reporting.
  • Knowledge of recordkeeping procedures.


  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and PeopleSoft Financials.

Financial Administration Coordinator, Intermediate will also need:

  • Skill in writing detailed numerical computations and reports.
  • Skill in computerized accounting systems and applications.
  • Understands business needs of service recipient organization.
  • Interprets financial reports and statements to identify trends or issues.

  • Analyzes complex situations.

  • Manages relationships and service recipient interactions.
  • Balances competing priorities and set priorities for others.

Background Information

This position has been identified as a safety/security sensitive position. Therefore, per AZ Revised Statute, Northern Arizona University requires satisfactory results for the following: a criminal background investigation, employment history investigation, degree verification (in some cases) and fingerprinting.

The report includes Clery reportable crime statistics for the three most recent completed calendar years and discloses procedures, practices and programs NAU uses to keep students and employees safe including how to report crimes or other emergencies occurring on campus. In addition, the Fire Safety Report is combined with the Annual Security Report for the NAU Flagstaff Mountain Campus and NAU-Fort Defiance as these campuses have on-campus student housing. This report discloses fire safety policies and procedures related to on-campus student housing and statistics for fires that occurred in those facilities.

Specialist, Senior

  • The budgeted salary amount is $41,000.

Coordinator, Intermediate

  • The budgeted salary amount is $48,500.

**The starting salary will be determined by the qualifications of the selected applicant balanced with departmental budget availability, internal salary equity considerations, and available market information.

FLSA Status

Financial Administration Specialist, Senior

This position is non-exempt under the Fair Labor Standards Act (FLSA). The incumbent is eligible for overtime pay or compensatory time according to University policy. Further, the employee must submit timesheets that accurately reflect all hours worked.

Financial Administration Coordinator, Intermediate

This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA) and therefore will not earn overtime or compensatory time for additional time worked.


This is a Classified Staff (CLS) position. NAU offers an excellent benefit package including generous health, dental and vision insurance; participation in the Arizona State Retirement System; paid vacation and 10 holidays per year; and tuition reduction for employees and qualified dependents.
