Job Summary/Description:

Under minimum supervision, assists department chair in daily administrative functions, manages office operations for the department, supervises office staff, and performs related duties as assigned. Office management responsibilities include, but are not limited to, completing purchase requisitions, tracking budget expenses, building and imputing semester course schedules, maintaining student files, managing an undergraduate exit exam, overseeing student time sheets, organizing academic advising, assisting students and departmental faculty with administrative tasks.

Typical Duties/Job Duties:

Maintain accurate budget figures in all funding accounts and reconciles budgets as funds are encumbered. Prepare all purchases (requisitions, pro-card) including requests for W-9 and tax exempt forms for equipment and supplies. Assist department chair & faculty with daily administrative tasks. Enter, edit, and administer the course schedules in Banner. Enroll students for the exit exam and email students exit exam testing dates. Administer graduate assistant time card submissions. Route documents, answer telephone and email requests for information.

Knowledge, Skills and Abilities:

Knowledge of secretarial, clerical, and general office procedures and practices including managing files/records, computer equipment and software (MS Word, Excel, Outlook, Banner, Cognos, etc.).
Ability to:
•balance accounts;
•type;
•organize & complete tasks accurately and in a timely manner;
•Manage computerized files and records;
•work with minimum supervision;
•communicate well verbally & and in writing;
•work in person at ASU.

Minimum Qualifications:

Bachelor’s degree in any field plus previous work experience; or an equivalent combination of education and experience sufficient to successfully perform the essential functions of the job.
