Writing and Research
- Compose, edit, and proof letters for signature by the Dean, gift officers and others to donors and prospects, including letters of introduction, follow-up correspondence after visits and events and stewardship communications. Prepare proposal packages and reports as necessary.
- Using on-line and internal paper file research materials, summarize background information for fundraising visits and independently draft correspondence as necessary. Draft briefing documents for selected donor visits and volunteer meetings.
- Draft brief donor biographies as necessary.
- Assist with the research and draft documents to support fundraising campaign priorities and persuasive information for investing in Berkeley Haas.
- Using research tools and practices, alert gift officers of activity on donors and prospects, track and report activity and ensure entry into campus-wide database, as appropriate.
- Use mail merge and/or similar tools to draft and send targeted campaign communications on behalf of gift officers to groups of donors.
- Utilize dynamic web-based resources which provide individualized, comprehensive wealth screening reports for all Haas School of Business alumni. Information includes data on stock options, director's fees, compensation, and other related assets to define wealth and giving capacity. Work with Major Gift Officers and campus prospect development trainers to develop research strategies used for prospect profiling, identification and differentiation as major gift donor prospects. Use data for qualification, and confirmation of donor prospects potential capacity, attachment and affinity to support the Haas School of Business.
- Provide information database support to develop and maintain prospect constituency segmentation for Major Gift Officers' prospect portfolio, primarily using CADS (Campuswide Alumni/Development System).
- CADS is a highly confidential and complex database that houses giving, biographical, financial, relationship, and fundraising moves management information. The database includes over 3,000,000 separate, charitable giving records that detail outright gifts in cash, securities, or in-kind form, pledges, endowed funds, and gifts from estate plans; biographical information on almost 500,000 alumni and friends with college degree, residence, and business information; major gift prospect information on 48,000 alumni and friends of Berkeley-Haas with personal connections, staff contact reports, fundraising event attendance, and multiple cultivation, solicitation, and stewardship tracks (often on a single donor).
- Independently utilize CADS as the source of campus data on donors, prospects, and volunteers, with confidentiality and discretion. Employ strong analytical skills and the ability to work with complex financial data to interpret donor prospect profiles. Using CADS, Excel, and help of information systems staff, create and maintain computerized spreadsheets, including campaign fundraising activity and tracking reports on major donors, prospects, and volunteers. Additionally, be the liaison with the DAR stewardship office and campus prospect development to provide portfolio and major donor meeting updates.
- Organize specialized campus visits of prospective donors with appropriate faculty, students, campus officials, and staff. Schedule appointments, arranging for meals, accommodations, transportation, and escorting around campus. Make necessary travel arrangements.
- Provide administrative support to major gift volunteers. Field questions, draft letters, provide statistical information, arrange for conference calls, and provide customer service through information sharing to campaign volunteer constituencies.
- Arrange and provide staff support for meetings, including preparation of meeting agenda, production of reports, taking and production of minutes, and oversight of follow-up activities.
- Work with Events Manager to arrange special events and programs for donors and prospects, such as luncheons, receptions, and dinners. Help direct attendees at events and provide logistical support to events staff. Occasional weekend and evening attendance is required. Independently handle event follow-up activities including drafting appropriate acknowledgements, post-event evaluation and debriefing.
- Coordinate with stewardship staff to ensure timely acknowledgement and publicity is accurate and that stewardship moves are implemented in a donor strategic manner for selected major gift prospects that require specialized service.
- Schedule meetings with key donors, volunteers, faculty, and administrators. Arrange meetings, resolving scheduling conflicts. Handle logistics, including travel arrangements, itineraries, and briefing materials.
- Oversee special fundraising mailings and projects. Provide overflow support to other development staff as needed. Provide back-up support to the Associate Dean of Development as needed. Perform other office duties as required.

- Participate in activities that enhance the campus community and/or larger community to further University service
- Maintain knowledge of [unit's] business processes in order to provide back up to other support staff in the [unit].
- Supervise one or more work-study students every semester. Recruit, interview and select the student(s). Train the student(s) on their tasks as well as database protocol, university ethics and the school's Defining Leadership Principles. Plan the work schedules for the student(s) and coordinate their duties with the needs of other colleagues. Track their projects and hours worked.
- Ability to work independently and with minimal supervision.
- Organizational skills to perform multi-level tasks and simultaneous assignments efficiently.
- Basic analytical skills and the ability to communicate clearly in writing including financial and non-financial confidential information.
- Ability to conduct frequent verbal, written and electronic communications with a variety of people about the Haas School and development activities.
- Ability to meet deadlines and respond to accounting issues and questions in a timely manner.
- Excellent interpersonal and communication skills.
- Demonstrated ability to act with tact and diplomacy to maintain good relations with alumni and donors.
- Proficiency with standard desktop technology tools, including the Microsoft Office suite.
- Research and problem solving skills.
- Knowledge of fundraising in a comparable environment.
- Training and proficiency in BFS and preparation of travel and entertainment vouchers.
- Detailed knowledge of University purchasing policies and procedures or the ability to quickly learn.
- Knowledge of contact information management systems.
- Experience using database management tools for querying and data selections
Salary & Benefits
This is a non-exempt, biweekly paid position. Hourly pay will be commensurate with experience within the Union negotiated rates up to $26.07 (Step 3)

This is a Limited appointment, full-time (40 hours per week), however, we are open to considering someone who is available 50%-100% time (20-40 hours per week).
The role will be covering for a current leave of absence. The current end date is 12/18/2020, with the potential to extend into the new year.
This position is governed by the terms and conditions in the agreement for the Clerical & Allied Services Unit (CX) between the University of California and Teamsters Local 2010. In accordance with ARTICLE 28.B.5.a: The automatic conversion to career status, as provided in Section B.2. above will not occur when one or more of the following occur:
a. A limited appointee is hired to replace an employee on leave that exceeds 1000 hours. If the employee on leave does not return from leave, the limited appointee shall be converted to career retroactive to the first of the month following attainment of 1000 hours; except that nothing in this subparagraph precludes the University from releasing the limited appointee prior to the anticipated return date of the employee on leave.
