Academic Operations Specialist - Wesley Seminary

Position Summary:

The Academic Operations Specialist consistently interfaces with the entire Seminary team. This individual will oversee a variety of processes including new student processes, student records, and course scheduling for full-time and adjunct faculty.

Reporting Relationships:

Reports to VP of Operations and Enrollment of Wesley Seminary and the VP of Academic Affairs of Wesley Seminary.

NOTE: This position anticipates a start date after January 2021.

Education Requirements:

Bachelor’s degree required. Master’s degree is preferred.

Duties and Responsibilities:

  • Build all new cohort (course) calendars and import into appropriate databases.
    Aid in new adjunct faculty hires, including compiling hire documents, entering documents into Colleague, and submitting documents to HR.
  • Complete new student processes such as inputting the admission decision, login/pin creation, acceptance letters, registration of core classes, etc.
  • A variety of tasks within the student information system such as the creation of new terms, clusters, and section records.
    • Work with the Academic Dean and Assistant Dean to monitor faculty to courses assignments and schedules.

    Ability to solve problems, design and execute projects Ability to maintain a high level of confidentiality Must possess exceptional verbal and written communication skills, organizational and listening skills, demonstrate maturity and initiative, computer proficiency (Microsoft Excel, Word). Minimum of three (3) years of experience in office settings is preferred. Preference for individuals who are bi-lingual in Spanish and English
