Position Highlights:

The Office of Faculty Affairs in the College of Medicine – Tucson (COM-T) supports the faculty in various ways to achieve successful careers that advance the college’s mission of advancing health and wellness through education, research and patient care. Faculty Affairs oversees the college’s recruitment, appointment, and promotion and tenure activities and provides administrative support for shared governance. This role also develops and coordinates wellness activities that enhance not only the work-life but also the professional development of faculty.

The selected candidate will work closely with the Executive Director, the Senior Associate Dean and the Assistant Dean to gain a thorough understanding of the appointment, promotion and tenure process, the recruitment and hiring process, faculty data needs as well as faculty career development.

Duties & Responsibilities:

Theoffice serves as a resource for administrators in the interpretation andapplication of faculty related policies and guidelines by providing broad support for the various activities of the office by working in close partnership with multiple stakeholders, including representatives ofthe academic health care partners.

  • Liaison with the departments and the Provost Office in relation to faculty issues, and advise faculty and administrators on process & procedures.
  • Liaison with AAMC and LCME and oversee completion of faculty data requests.
  • Coordinate COM Appointment, Promotion & Tenure Committee, participating in bi-weekly meetings and fielding questions on AP&T policies.
  • Draft Dean’s letters for promotion dossiers for the Vice Dean for Faculty Affairs.
  • Present workshops/training sessions on preparation of the dossier and coordinate or participate in faculty development workshops as needed.
  • Working closely with the appropriate Dean, coordinate post-tenure review in the College of Medicine-Tucson, participating in ad hoc meetings and fielding questions on annual performance reviews, faculty development plans, enhanced reviews, and performance improvement plans.
  • Maintain records pertaining to faculty advancement and mandatory reviews, providing timely notification to faculty and administrators regarding upcoming reviews.
  • Identify need for new or amended policies, processes and procedures and draft the same, working with all constituents involved to ensure their needs/interests are incorporated.
  • Facilitate new programs/activities that are mandated by central or college administration and advise appropriate administrators on related issues.
  • Coordinate the annual AAMC Faculty Salary Survey and distribute the resulting reports to department administrators and business managers.
  • Working closely with the appropriate Dean, draft responses to the AAMC Faculty Personnel Policies Survey.
  • Assist with postings for postdoctoral training and faculty positions as well as transaction approvals for the college including hires, job changes, equity, market, termination, non-renewal, etc.
  • Assist with the review and preparation of letters of offer for faculty ensuring that appropriate language is included in the letter. Work with appropriate stakeholders on changes and approvals.
  • Assist in preparing and obtaining approval for letters of offer for Department Heads, Center Directors and Assistant and Associate Dean positions.
  • Perform other duties as required.

Minimum Qualifications:

  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
  • Minimum of 8 years of relevant work experience is required.

Preferred Qualifications:

• Bachelor’s degree in a field appropriate to the area of assignment AND at least five years of experience with personnel management related activities; OR, Bachelor’s degree in a field appropriate to the area of assignment AND at least two years of experience with faculty appointment, promotion and tenure activities.• Previous experience working in an academic environment.• Previous experience with UAccess Employee and Analytics.• Expertise in personnel management, preferably in academic medicine.• Demonstrated ability to initiate and follow through on responsibilities independently and with attention to detail.• Demonstrated data and analytical skills.• Ability to manage multiple projects, establish priorities, problem solve and make decisions.• Ability to work under deadlines and change focus with minimum notice.• Competence using computer applications including Microsoft Word, Excel, PowerPoint and Outlook.• Strong written and oral communication skills.
