• Knowledge of SAP, Banner, CourseLeaf, Logi, Degree Works, CIM/PIM, Microsoft Office Professional, and other common software programs.
• Knowledge of basic math and bookkeeping.
• Ability to communicate courteously both in speech and writing with both internal and external contacts.
• Ability to understand and manage budgets including preparation of personnel records, travel, purchasing, and time reports.
• Ability to exercise appropriate independent initiative and judgement.
• Ability to understand, prioritize, and complete verbal and written instructions with attention to detail.
• Ability to organize, prioritize and delegate complex work tasks to meet assigned deadlines.
• Ability to develop and maintain accurate and confidential records and files.

Preferred Qualifications

2-3 years experience in an Administrative Assistant position. Knowledge of university and academic policies and procedures.

Job Description

Responsible for providing administrative and general clerical support to either program chairs, department chairs, deans, or directors.

Job Duties

Provide advanced administrative support and perform a variety of work activities including:
• create, review and process purchase orders and invoices;
• create and process travel applications and reimbursements and assist faculty/staff with travel arrangements;
• maintain budget ledgers;
• monitor transactions of operating budget for department;
• monitor due dates for assignments and projects;
• assist with various department activities and events;
• answer telephones, screen transfer calls as appropriate, and/or take accurate messages;
• compose, type and proofread correspondence and forms;
• organize and prioritize work;
• serve as department leavekeeper;
• monitor staff and student time sheet entries in SAP;
• process paperwork for student employee hires for department;
• monitor and order office supplies;
• maintain faculty and staff personnel files;
• may supervise student workers and/or other staff;
• open, date and distribute mail;
• greet, screen, and direct visitors as appropriate;
• perform other duties as assigned.
