Event Planning and Special Projects Coordinator Job Number Full/Part Time Schedule Salary 202010206641 Full Time 8AM - 5PM $55,000 - $108,500 Position Information The Event Planning and Special Project Coordinator is responsible for all aspects of planning marketing events and managing UCR Health special projects. The incumbent will lead highly complex and visible events involving key members of UCR Health, UCR SOM, UCR campus and our surrounding community. Plans and manages medium to moderately complex events involving guests from multiple sources such as patients, public officials, other UC campuses, alumni, and interested donors identified by the advancement or development. This role is the primary UCR Health event administrator responsible for the overall management of marketing outreach events, including, but is not limited to, maintaining a master event calendar; scheduling and facilitating event planning meetings; working with the marketing team on comprehensive event design and development; supervising event staff and students; event logistics; training and assignment of duties; event vendor contract negotiations; creation and management of event budgets; coordination of event publications, mailing and email distributions; event assessment and debrief with all applicable stakeholders, internal and external; and the coordination of communication to participants. Additional responsibilities include cultivating partnerships with a variety of campus departments as well as internal and external vendors. The incumbent works with all event stakeholders, including UCR Health, UCR SOM and UCR campus partners. The incumbent also serves a Special Project Coordinator responsible for effectively managing the relocation of existing clinics and opening of new clinics. This includes working closely with facilities, space planning, compliance, clinic managers and other administrators to properly plan and implement projects; establishing timelines and managing budgets; ordering and directing the set-up of new equipment, furniture, and medical supplies; proper onboarding of staff and physicians; and planning grand opening events. Please note: This is a one year position with the opportunity to extend, subject to funding availability. Minimum Requirements Skill in effectively meeting budget and time constraints.
Highly developed interpersonal communication skills including political acumen and social perceptiveness. Excellent verbal and written communication skills to effectively communicate with diverse populations with competing priorities.
Ability to effectively work with invited guests, donors, government officials and university VIPs.
Knowledge and skill to set and monitor work standards and protocols.
Ability to give clear directives and use independent, rational judgment to make optimal decisions.
Knowledge of principles and practices of volunteer recruitment, supervision, motivation and evaluation.
Thorough knowledge and understanding of concepts, principles and practices of event planning and public relations, including event design, organization and production.
Highly developed judgment, decision-making and problem recognition/avoidance/resolution skills, including skill in determining those issues/problems that need to be brought to management's attention.
Demonstrated organizational and project management skills to work successfully with clients to produce high quality events that meet client needs and appropriately represent the campus; that is, for fundraising events, skills to provide excellent donor stewardship.
Knowledge of crowd management, crowd safety protocols, security and emergency procedures related to small, medium and large scale gatherings.
Experience maintaining a high standard of productivity within a broad scope of responsibility despite frequent interruptions. Ability to complete large volume of diverse tasks efficiently, meeting established deadlines.
Proven ability to work on several tasks simultaneously. Skill at responding effectively to priorities and setting deadlines.
Proven experience in providing guidance and advice in all aspects of program planning, implementation and evaluation. Ability to effectively and accurately access event and program outcomes
Demonstrated public speaking skills and the ability to make presentations before small and large groups.
Preferred Qualifications Thorough knowledge of the campus, its vision, mission, programs, policies, achievements and infrastructure. Knowledge of University policies and procedures relating to the use of University facilities; event management and presentation.
