Position Summary

This position provides office and instructional support to the adult education department and is responsible for completing data entry, student intake and professional development. This position is required to work collaboratively with community agencies and the college to support the Adult Education program. This is a grant-funded part-time position, 12 hour per week, non-benefit eligible position. The position is based upon the terms, conditions and funding of the grant.

NOTE: This job description is not intended to be all-inclusive. Employee may perform other related duties as negotiated to meet the ongoing needs of the organization. Essential Duties and Responsibilities

  • Answers calls and returns voicemails from potential students inquiring about the program.
  • Conducts student intake and relays program expectations to new students.
  • Collects student information on intake forms and inputs information into AAEDMS database.
  • Enters attendance, test scores, and new registrations for all sites into AAEMDS database on a monthly basis.
  • Creates new classes in database based on instructor need.
  • Generates testing, attendance, and separation reports on a monthly basis and sends to instructors.
  • Order supplies based on program need on a monthly basis.
  • Contacts students who have left the program for goal follow-up on a quarterly basis.
  • Administers and Proctors TABE 11&12 testing.
  • Organizes and maintains student files. Archives student files at the end of the fiscal year.
  • Gathers material requested by the Community College for annual audit. `
  • Provides instructors with regular reports from database on students in need of post-assessments.
  • Checks database regularly for accuracy. Will work with state to reconcile any data questions.
  • Updates program webpage as needed.
  • Attends regular program meetings, professional development workshops and conferences.
  • Records the minutes at monthly meetings and distributes to staff who were unable to attend.
  • Actively supports and contributes to a positive and professional workplace environment.
  • Performs other duties as assigned.
Knowledge, Skills and Abilities

Knowledge of standard office principles and practices to include manual and computerized record maintenance procedures, and clerical processes in a professional and business manner. Ability to communicate with employees or the public in person. Ability to work with people and students from a variety of diverse backgrounds. Familiarity with using Word Office Suite including Excel, Word, Access and basic Internet and e-mail functions (Explorer and Outlook). Familiarity with educational technologies. Ability to obtain TABE 11&12 certification.

Minimum Qualifications

High school diploma or GED and one to two years directly related experience or Associate’s degree in business or education or any equivalent combination of education and experience sufficient to successfully perform the essential duties of the job and/or as approved by the Human Resources department.

Preferred
Bachelor's degree in education or educational technology. Experience in educational setting. Experience with instructional technology.
