Job Description:The Department of Political Science is currently seeking for an Academic Assistant III. The Department houses 40 full-time faculty. We have nearly over 1,000 undergraduate majors, as well as 50-80 graduate students (MA and PhD). This position will serve as the liaison between the Department of Political Science and CLAS Academic Advising Office, the Graduate School, and the Registrar. The Academic Assistant III will work under the direction of the Administrative Specialist II to ensure that the department is in compliance with university, college, and department policies. Duties and responsibilities include, but are not limited to:

Academic Activities:

    Provides support to the unit’s undergraduate and graduate programs by organizing and administering student affairs. Provides support to the Graduate Admissions Committee in the admissions process by preparing academic files, reviewing every term students’ academic progress, processing graduate student evaluations, and advising students on degree completion requirements.Responsible for scheduling rooms and equipment for graduate oral exams.Prepares and submits undergraduate and graduate course scheduling each semester for the department. Coordinates with other departments/units for cross-listing of courses.Assist graduate and undergraduate students registering for classes.Manages department controlled courses. Answers inquiries on class availability, waiting lists, credit-hour requirements, etc. Monitors undergraduate and graduate student progress through program, and determines whether program or graduation requirements have been met.Collects and summarizes information from various sources and provide reports for the Graduate Coordinator, Graduate Committee, CLAS, Graduate School, Registrar, and other agencies.Responsible for notifying instructors about grading procedures and all academic deadlines.Assists faculty entering grades on-time in Grade-a-Gator, and enters grades for all non-classroom/independent work/honors/etc. undergraduate and graduate courses.Maintains and processes all student teaching evaluations.Assists faculty ordering textbooks each semester into the University textbook adoption website and assists instructors ordering desk copies through the publishers.Submits change of grade forms for undergraduate and graduate students.Assists with collection of academic program data and entry into Compliance Assist.Provides support for student or affiliate groups.

Assistant to the Chair

  • Maintains department website and calendar of events.
  • Writes, edits or develops marketing or other communications (print, social media, or other formats) to promote the program or departmental events to potential audiences within and external to the university.Assists with the organization, planning, purchasing, setup, and cleanup of department events.Manages and updates space allocation report (complete interviews, input data/certify rooms, authorize space) using the online Space Inventory System.Conducts research and compiles data/statistics for institutional records, surveys, accreditation forms, and other reports.Composes and maintains program manuals, directories, and handbooks, and develops and maintains record-keeping system for building keys and equipment.Assists in completion of surveys from the American Political Science Association and other scholarly and professional organizations.

Reception and General Duties

    Assists with the office daily operation. Greet and route visitors, answer and direct incoming calls, and distribute mail. Maintain current phone system and directory and department printers/copiers. Maintains key inventory.

Other duties as assigned.

Expected Salary:

The salary range is $17.00 to $20.00 per hour, commensurate with qualifications and experience.

Minimum Requirements:

Bachelor’s degree; or an equivalent combination of education and experience.

Preferred Qualifications:Experience with Peoplesoft, Microsoft Word/Excel, Adobe Acrobat Professional, and UF Administrative Applications necessary.

Ability to prioritize and accomplish work with many interruptions and distractions.

Ability to communicate effectively both written and oral.

Ability to work with numbers and spreadsheets.
