Job Summary

Facilitate and coordinate building operations within an assigned facility. Includes coordination of building maintenance and repairs, office moves, delivery and installation of furniture and equipment., building access control and deliveries. Serve as project manager for facility renovation and construction. This position will interact on a consistent basis with: building occupants and visitors, department heads, contractors and vendors. This position typically will advise and counsel: contractors, vendors and visitors. This position will supervise: NA.

Responsibilities
  • Manage building maintenance functions (both routine and emergency); ensure activities are carried out in a complete and timely manner
  • Arrange for office moves within facility; ensure they are carried out as scheduled
  • Coordinate delivery and installation of building equipment
  • Maintain building access control system including card entry and office key management
  • Facilitate arrangements of special events scheduled for facility
  • Coordinate outside vendor/contractor services; order building repair services as needed
  • Manage and update the Redbook and emergency preparedness plans annually, for facility and all related procedures
  • Coordinate annual equipment inventory and maintain related records
  • Oversee building renovation and construction projects
  • Perform other duties as assigned

Additional Information

The Facilities Manager II directs facilities planning, maintenance, operations, construction, and support services for the Ivan Allen College of Liberal Arts. This position is responsible for managing over 240,000 square feet of space – including classrooms, office spaces, labs, meeting rooms, and display areas – that the Ivan Allen College of Liberal Arts occupies in 11 buildings. The Facilities Manager II position serves as the college’s representative for new construction, renovation, and facilities special projects. As a result of the College’s growth, we have completed a large-scale building renovation project every year for the past six consecutive years. This position oversees building security, safety, custodial services, and landscaping for each building. Essential functions of this position are to administer space management plans and to maintain record of the College's equipment assets and inventory. The Facilities Manager II also coordinates with School Administrative Managers, which serve as building managers/point of contacts, to develop annual emergency preparedness plans, troubleshoot maintenance and repair issues, manage building access and key control, arrange logistics for large-scale events, procure and install equipment and furniture, and coordinate department moves. The Facilities Manager II administers service contracts and the manages an operating budget for vendor services, equipment, and supply purchases.

The Facilities Manager II position reports to the Dean of the Ivan Allen College of Liberal Arts and serves as the College’s liaison with various units in the Division of Administration and Finance including, but not limited to, campus services, real estate, capital planning and space management, facilities, maintenance, design and construction, environmental health and safety, and police. The high-profile position supports six academic schools, one research center, and three Reserve Officer Training Corps (ROTC) programs that report to the College. The position collaborates regularly with the Dean, dean’s office staff, college leadership team, staff, faculty, students, facilities personnel, vendors, and contractors.

SKILLS
