TITLE: Budget Coordinator DEPARTMENT: Academic Affairs REPORTS TO: Interim Provost and Vice President of Academic AffairsEFFECTIVE DATE: TBDEMPLOYMENT STATUS: Full-time EMPLOYMENT CLASSIFICATION: Exempt PRINCIPAL PURPOSE OF JOB:
Oversees a variety of associated administrative, fiscal, staff support and planning activities; some of which require advanced or specialized knowledge and skills, such as budget administration and control, equipment, facilities, and inventory management, specialized recordkeeping and database management to support Academic Affairs.SCOPE OF RESPONSIBILITY:
Under the direct supervision of the Provost and Vice Provost of Academic Affairs, performs a variety of office support and budget management duties; implementing budget transfers, early steps of purchasing, submitting invoices for expenditures, for Academic Affairs office and other employees. Creates correspondences, relays and resolves routine telephone and/or walk-up inquires, making travel arrangements, processing forms, performing data entry, and establishing and maintaining records. Monitoring budget availability, participating in annual budget planning meetings. May perform duties involving simple mathematical calculations.ESSENTIAL JOB FUNCTIONS:Monitors Academic Affairs budget activity and implements budget transfers when needed.Oversees and facilitates the purchasing process.Daily interactions with KSU students, employees, alumni, and employees.Process travel reimbursement in the Concur system and airline purchases for Provost and Vice Provosts of Academic Affairs department.Creates and distributes correspondence, reports, and other documents.Performs data entry and maintains files, database, and record retention.Schedule appointments and department activities/events.Creates and processes requisitions, travel arrangements, EPAF’s, and check requests for staff, and faculty in the Academic Affairs department.Performs other duties as assigned. OTHER DUTIES:

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:Extensive knowledge in accounting and business practices required.Ability to use personal computer, Banner and a variety of related software applications.Word processing and/or data entry skills.Ability to maintain confidentiality of records and information.Ability to communicate effectively, both orally and in writing.Records maintenance skills.Ability to keep and organize financial records.Ability to perform simple accounting procedures.Skill in the use of operating basic office equipment.Ability to establish and maintain effective working relationships with other departments and teams. SUPERVISORY RESPONSIBILITY:
This position has no supervisory responsibilities. WORKING CONDITIONS AND PHYSICAL EFFORT:
Work is normally performed in a typical interior/office work environment.This position may involve occasional travel to professional meetings.No or very limited physical effort required.No or very limited exposure to physical risk.
Education/experience: Bachelor’s or Master’s Degree in Accounting, Business Administration or related field, at least three (3) years’ of experience that is directly related to the duties and responsibilities specified.
