Preferred Qualifications

Knowledge of University and state guidelines and procedures. At least three years of experience in an office setting.

Position Summary

This position provides administrative support to the Department of Veterinary Pathology.

Knowledge, Skills, Abilities and/or Competencies

Familiar with computer and good working knowledge of use of Microsoft Windows based applications such as MS Word, Excel, PowerPoint, and Adobe Photoshop. Excellent oral and written communication skills. Excellent organizational and time management skills.

Physical Demands

Pickup mail and packages in the mailroom and bring to the departmental office. Lift computers and move some equipment and furniture. Sitting at a computer for extended periods of time.

Duties/Responsibilities

Duties/Responsibilities

Manages the purchasing operations via purchasing card, UGA Mart (purchase orders), iLabs, etc.; processes payments/reimbursements (non-travel) to employees and outside vendors (including tracking of purchase orders and requests); Manages departmental income practices via deposits (wire transfer, Touchnet, etc.); manages outside invoices for subcontractors for grants for all of VPAT; manages and coordinates credit card payment for outside billing for VPAT projects (non Vet View billing), and assists with financial operations as required. Works with Business Manager and Office Manager to establish and revise work methods and procedures for the department

Administrative support of department including assists with admin calendar and department head schedule, assists with troubleshooting various areas of IT needs, as needed; assists faculty, students and laboratory personnel with general operations issues and develops high-level correspondence for Department Head’s signature; manages departmental Federal Work Study program; and supervises students in Federal Work Study program and/or student workers.

Project Management: Coordinates, provides administrative support to, and/or leads VPAT project teams. This requires interaction/coordination with a wide range of constituents at the department, college and university levels as well as with representatives outside of the university; serves as the department telephone services representative; Events/luncheons coordinator; Elements program liaison for faculty; Performs yearly departmental inventory and coordinates surplus.

Assists with the preparation of annual reports and other college reports and prepares evaluations for staff and faculty; Independently conducts surveys of external evaluators, collects data on departmental performance of departmental faculty, collates and summarizes this information; Collects and collates course/instructor evaluations.
