Position Overview
The Program Coordinator is responsible for coordinating and leading various activities and functions in support of multiple graduate programs within the Parkinson School of Health Sciences and Public Health. The Program Coordinator reports administratively to the Director of Administration and supports the Program Directors of the graduate degree and certificate programs.

The Program Coordinator supports graduate students, faculty and staff across multiple programs, campuses, and sites. The position is based at the Health Science Campus (HSC) but also requires a regular presence at Loyola’s Lakeshore Campus (LSC). Occasional early morning, weekend, and evening responsibilities are involved.

Duties and Responsibilities:
Program Operations
•Oversee daily operations of multiple graduate programs, including but not limited to degree and certificate programs in Dietetics, Exercise Science, Healthcare Administration, Health Informatics, Implementation Science, Medical Laboratory Science, Medical Physics, non-degree seeking students, and any other approved Parkinson programs.
•Serve as the primary contact for prospective students, students, and faculty of the graduate programs.
•Assist with purchase and inventory of laboratory, clinical, and electronic needs including consumable supplies, small and large equipment, and computing software and hardware.
•Compile and analyze data and prepare reports related to course enrollment, student demographics, application/acceptance rates, and program outcomes etc. Extract data from Power BI, SLATE and other databases.
•Assist in program accreditation processes such as managing data, organizing self-study presentations, surveying stakeholders, and coordinating site visits.
•Assist in codifying policies and procedures such as developing and maintaining student handbooks, policy books, and faculty resource guides.
•Assist graduate faculty with routine functions such as room reservations, orientation to LUC resources, and book purchases.
•Liaison with LUC departments such as marketing, catering, conference services, campus reservations, campus safety, facilities.
Marketing, Communications and Events
•Maintain current program information on websites, social media accounts, Sakai LMS and other outlets.
•Assist in marketing of graduate programs, such as developing materials, organizing photo shoots, and advertising of events.
•Represent graduate programs at external recruiting events as needed.
•Assist program directors with alumni communication and relations.
•Organize regularly occurring oversight meetings (e.g. Steering Committee or Advisory Board) as required for each individual program.
•Organize annual or ad hoc events such as Evening of Excellence, faculty retreats, recruiting fairs, open houses, professional conferences or research symposia.
•Assist with other LUC/Parkinson School events as needed, such as commencement.
Enrollment and Academic Support
•Communicate with prospective students regarding admission process.
•Collaborate with Admissions Committees and GPEM in managing the application and admissions process.
•Manage and advise program plans for individual students.
•Manage processes related to international student enrollment.
•Manage processes related to student life (e.g., ID acquisition, building access, wellness resources).
•Manage processes related to student matriculation (e.g., dismissal letters, LOAs, degree conferral).
•Manage processes related to curriculum (e.g., course inventories, LOCUS changes, and credit transfers)

Minimum Education and/or Experience
• Bachelor’s degree from an accredited college or university in a related field, required.
• Master’s degree is preferred.
• Strong organization skills, and effective verbal and written communication skills.
• Demonstrated success with planning, coordinating, and implementing large and small scale, detail-orientated projects and events.
• Ability to work effectively within a culturally diverse environment.
• Ability to work flexible schedule on occasional basis, i.e., early morning, weekend and evening hours.
• Proficient in the use of Microsoft Office (Word, Excel, PowerPoint) and Adobe Acrobat.
• Experience with higher education learning management systems.
• Ability to work with large data sets. Commitment to learning new higher education and business intelligence systems.
• Knowledge, understanding and commitment to the mission and values of Loyola University Chicago and the Parkinson School of Health Sciences and Public Health.

Minimum Education and/or Work Experience

•Bachelor’s degree in related field is required.
•Two to three years of work experience is preferred.
•Master’s degree is preferred.
