The Office Manager ensures the College is provided with the resources available through the FLCC Foundation by coordinating all activities regarding funding requests, registrations, payments and approvals. This position manages the efficient operations of the FLCC Foundation by providing accurate and timely updates, maintaining department databases, and interfacing with the Executive Director of the Foundation to approve or deny requests. The Office Manager is a dynamic professional who maintains the Foundation office operations by providing excellent service and assistance to internal and external customers. Assistance will be provided in person, electronically, over the phone or otherwise, while drawing from a working knowledge of all facets of the Foundation and College operations. Must maintain highly confidential donor and alumni records and expenditures. Utilizes technology to recommend and implement efficient and effective processes; focusing on the use of the Blackbaud databases, Microsoft Office and electronic processing systems.

This is an hourly, part-time position. $16.87/hr, approximately 20 hours per week

1. Qualifications:

A. Educational Background: Associate’s Degree required, Bachelor’s degree preferred

B. Experience: Experience in office management, or business operations. Knowledge of MS Excel and MS Word, including the use of mail merge. Blackbaud Raiser’s Edge knowledge highly preferred, or willingness to learn.

2. Essential Functions:

  1. Establish and maintain consistent communication between the Foundation (Development staff, Foundation Board of Directors, donors and alumni) and the College (staff, faculty and students) to ensure collaboration.
  2. Receive and track all Foundation funding requests from the College.
  3. Create reports with the funding requests, including availability of funds and all payment details.
  4. Work with the Executive Director of the Foundation to review funding requests.
  5. Correspond with College personnel with status updates regarding Foundation requests.
  6. Coordinate all Foundation property maintenance activities and communicate timely updates.
  7. Coordinate all incoming and outgoing payments on behalf of the FLCC Foundation.
  8. Manage development office gift procedures:
  9. Work in Blackbaud Raiser’s Edge to maintain and update all alumni and donor records
  10. Develop and adhere to data entry standards to ensure data accuracy, correcting mistakes, and communicating changes as needed
  11. Prepare donor acknowledgement letters on behalf of the Foundation and College president
  12. Process gifts and event registrations daily
  13. Prepare daily gift batches, donor receipts, acknowledgement letters, pledge reminder letters
  14. Process scholarship payments each semester
  15. Support Development team:
  16. Provide phone coverage and office support for development team
  17. Attend and support major events and Foundation board meetings
  18. Assist with annual appeals, fundraising goals, renewals and events.
  19. Maintain a professional and courteous attitude at all times towards co-workers, internal and external customers, representing Finger Lakes Community College, its programs, policies, and procedures in a positive and professional manner. Maintain effective working relationships to ensure institution-wide teamwork.
  20. Maintain a high regard for privacy in accordance with the FERPA privacy policies and procedures.
  21. Performs other duties as assigned.
