The Director manages the annual budget process for the Division of Student Affairs and Academic Support in coordination with division departments, the Sr. Associate VP for Student Affairs and Academic Support, and the University Budget Office. The Director conducts periodic reviews & monitoring of all division fund sources to identify any concerning trends and works directly with departments to develop corrective action plans. The Director monitors University general scholarship accounts and prepares scholarship awarding projections.
In addition, the Director trains departmental business managers, addresses departmental finance questions, serves as the division’s primary liaison to the Budget Office, Controller’s Office, and Purchasing. She/he audits purchasing card activity and tracks grant awards and Foundation activity. The Director coordinates capital planning to ensure that all division needs are identified and aligned with funding sources.
•Conduct training sessions for Student Affairs and Academic Support business managers to address identified training needs in the budgeting and financial management areas.
•Assist departments in linking capital needs to Student Affairs and Academic Support budgeting and planning efforts.
•Manage annual division budget development in coordination with the Senior Associate Vice President, Student Affairs and Academic Support, division departments, and University Budget Office.
•Monitor division budgets through periodic reviews of A-fund accounts, student activity accounts, auxiliary accounts, revenue generating accounts and agency accounts to determine the financial status of Student Affairs and Academic Support Departments.
•Conduct periodic audits of Student Affairs and Academic Support departments to ensure compliance with purchasing card procedures.
•Establish a process to manage grant awards received in Student Affairs and Academic Support departments.
•Manage special projects as assigned by the Senior Associate Vice President, Student Affairs and Academic Support.
Master’s degree and 6 years or bachelor’s degree and 8 years related experience in business, public administration or administrative services.
Preferred QualificationsKnowledge of USC policies, procedures, financial systems, and human resource systems preferred.
Knowledge/Skills/AbilitiesMust have strong knowledge of Microsoft Excel, familiarity with database programs, and the capacity to learn web-based financial systems. Strong analytical skills and the ability to interpret policies and procedures accurately are critical. Excellent verbal and written communication skills are also essential. Must possess knowledge of applicable laws and regulations.
