Nature & Purpose of Position
Performs entry-level specialist duties for the Registrar’s Office. Provides direct support services to students, campus community, alumni, and the public.

Primary Responsibilities
Provides semi-complex, semi-analytical, and detailed Texas Success Initiative (TSI) evaluations to students, parents, and academic advisors as part of responsibilities associated with university functions assigned to the Registrar’s Office in order to remain compliant with state law. Collaborates closely with the SAM Center, the Student Success Center, and the Orientation Office. Performs registrar-related tasks to include reports and assisting with procedures related to catalog maintenance, and general registration tasks. Researches, gathers, and processes requirements to determine TSI placement for incoming students. Provides detailed TSI advisement for students and advisors, enforces TSI compliance by contacting students and requesting placement testing, and makes adjustments to schedules. Maintains individual student TSI statuses by processing and re-evaluating new TSI information. Processes changes to student TSI status in the Banner student information system and evaluates and updates the TSI status information in Degree Works software. Communicates evaluation results to students and campus staff including academic advisors, department administrative assistants, developmental education coordinators, and faculty. Processes registration requests, verifies proper developmental education enrollment, and provides TSI support to the Registrar’s Office front counter staff. Monitors the Pre-Assessment Activity process in Blackboard and promptly clears students so they may contact Sam Houston State University (SHSU) Testing Center for testing. Answers the main TSI line to assist with registration and graduation calls. Monitors the main registrar shared inbox and inputs TSI scores, updates TSI statuses, and responds to TSI emails from advisors in order to allow students to be advised and register. Collaborates with area high schools as TSI legislation shifts and requests for partnerships are made in response to House Bill 5. Assists with basic catalog updates, registration inbox research inquiries, and web updates. Attends events targeting new incoming students, which includes all summer orientations and Saturdays@Sam. Processes grade changes, determines academic standing, corrects academic records, and processes official transcript requests for current students and alumni. Scans reports and pertinent student documents including email communications. Assists students, former students, faculty, and staff with requests for information, performs enrollment and degree verifications, and provides general graduation and commencement support. Performs other related duties as assigned.

Other Specifications
Position requires the ability to research and retain information; to remain focused and on task; be a successful and skilled multi-tasker; work independently without the need for constant supervision; and also work as a team player. Knowledge of university catalog as it relates to degree requirements and policies preferred. Skills or experience in Excel and Microsoft Word will be beneficial. Requires strong oral and written communication skills for concise, professional, and effective communication. A thorough and comprehensive knowledge of the Texas Success Initiative law and our campus compliance policies is required, including the ability to troubleshoot effectively to determine resolutions quickly, and the ability to understand the state law and impacts on our campus as the law changes. Ability to understand how TSI changes apply to our institution as well as how we code TSI-related processes in our student information system and our third-party software is required. Must have the ability to learn and understand TSI evaluations performed by other universities and community colleges. Requires reading, understanding, and communicating University policies and catalog information as it applies to student academic records in registration and all registrar-related processes. Must abide by Family Educational Rights and Privacy Act (FERPA) regulations and exercise a high level of confidentiality regarding student records. Professionalism and adhering to the office dress code is required. Cross-training within the Registrar’s Office is to be expected in order to remain well-rounded in knowledge. Yearly professional development will be required for all staff. The Registrar’s Office has high-traffic dates when attendance is essential. Attendance at additional events may be required and may include travel during or outside of normal working hours.
