The Associate Director of Osher Lifelong Learning Institute at William & Mary will assist with directing the department’s strategic efforts to meet the needs of members while remaining a self-supporting department. The Associate Director is responsible for the management of multiple services related to the program to ensure successful planning and the sound financial condition of the department, while positively reflecting the university to all departments and customers. The Associate Director reports to the Director of Conference & Event Services and the Osher Institute for Lifelong Learning at William & Mary and serves as the primary back-up to that position within the department

Duties include, but are not limited to:
•Responsible for coordinating communication and related programmatic support for a 13-member volunteer advisory council ensuring consistency of policies and integrity of operations
•Provides supervision of full-time and part-time employees/student employees/volunteers
•Oversight, planning input, and budget management Monitor customer service and quality control
•Represent the department and actively engage in sales and marketing of the goods and services of the department to both W&M and beyond the W&M community
•Administer the customer, client, and vendor evaluation systems for the department and make recommendations for improvements within the department
•Provide goods and services to meet the needs of membership which includes providing customer service for over 100 courses and 1000 members per semester.
•Serves the campus community through service on various committees and task forces as needed

Required Qualifications

•Bachelor’s degree in education, business management or related field or equivalent combination of education and experience
•Demonstrates thorough knowledge of successful office practices and protocols with the ability to support a variety of routine and complex tasks
•Demonstrates strong planning and organizational skills with the ability to develop scheduling methods and coordinate logistical details
•Proficiency in a variety of general office software applications (MS office, specifically MS Word and Excel)
•Previous experience with registration management services to include reconciliation, reporting, confirmation, invoicing, abstract/session submission, and on-site execution
•Strong analytical skills with the ability to compile and analyze data, produce reports in a variety of formats
•Strong financial experience and understanding of accounts receivable, accounts payable, invoice preparation, vendor payment preparation, cash handling procedures, and credit card processing
•Knowledge of personnel, accounting, and budget management
•Demonstrates excellent problem solving skills, with the ability to identify and resolve problems within scope of position
•Demonstrates strong organizational skills with the proven ability to manage multiple and competing priorities within specific deadlines
•Demonstrates excellent oral and written communication skills
•Demonstrates a strong customer service orientation and the ability to work effectively with internal and external constituencies, while exercising diplomacy and tact in all interactions
•Prior supervisory experience or training and providing direction to staff, students, and volunteers

Preferred Qualifications

•Significant or substantive experience and/or training in continuing education, lifelong learning, or related field within a higher education setting or similar business operations within the private sector
•Prior experience working in a lifelong learning program
•familiarity with W&M facilities and policies/procedures strongly preferred
•Strong working knowledge of conference and/or special event planning coordination
•Working knowledge of Cascade and WordPress
•experience with organization wide program engagement is highly desirable
•Familiarity with the RFP process
•Knowledge of university facilities, policies, and procedures and demonstrated ability to interpret, apply, and communicate such in accordance with state and federal guidelines

•This position will be expected to work evenings, weekends, and holidays in addition to regular office hours during high peak times but will have the ability to work a varied and flexible schedule
•This is a non-exempt position, eligible to receive overtime in accordance with the Fair Labor Standards Act. This position may be subject to overtime during high peak times, etc. as directed and approved by the supervisor.
•This is a restricted position subject to the availability of funding
•Must be able to lift a minimum of 30 lbs
