Position Summary

Working largely independently as part of the senior departmental management team, and under the general direction of the Assistant Director, Conference and Special Events, the incumbent is responsible for managing the day-to-day operations of the Conference and Special Events office, including conference and special event activities on campus and film productions. The incumbent will manage business units responsible for all conference and special event activities on campus. The incumbent provides support to the senior departmental management team for the long-term planning, by making recommendations and implementing strategic plans determined by senior management. This position will support the review of existing unit operations and creation of a business plan that aligns with the strategic principles of the University of Toronto Mississauga.

This position will also support the Assistant Director as a UTM representative to external clients, including conference groups, community members, local trade organizations and many VIP visitors. The incumbent will support the Assistant Director with all film productions on site including contracts, insurance requests, communication with other departments, staffing and damage repairs.

This position will support the day-to-day sales, marketing and operations activities. This individual will support the development of financial plans, the development of marketing strategies and the creation of campus sales documents and communication tools. The incumbent will also oversee the booking of all campus meeting, event space and catering orders related to all internal staff and student meetings. The incumbent will also supervise the unit employees, and have managerial authority related to human resource management, assignment of work, as well as the hiring, performance management and professional development of all staff in this area.

The incumbent is responsible for the hiring, orientation, and management of all full-time unit staff (USW) and all casual and temporary staff supporting these operations.

Minimum Qualifications

I. EDUCATION: University degree, preferably in business or hospitality, or equivalent combination of education and experience.

II. EXPERIENCE: A minimum of 3-5 years’ progressively responsible experience in high level special events conference planning and logistics. Sales and Marketing experience related to University facilities, within a Hotel or other fast paced multi-service organizations serving a varied and demanding clientele. Knowledge of protocol, diplomacy, media and an excellent understanding of the impact of public perception as it relates to the University’s reputation.

III. SKILLS: Proficiency with Microsoft Office suite. Excellent interpersonal, oral, and written communication skills. Excellent problem-solving skills. Good conflict resolution skills.

IV. OTHER: Ability to manage conflicting priorities and deadlines. Sound understanding of catering and the costing of menu items; sound understanding of the lodging industry; ability to work proactively in an academic environment and commit to the mission of UTM. Willingness to work variable hours. Demonstrated creativity and initiative; must be extremely service oriented; ability to quickly build rapport and negotiate with both internal and external University clients. Ability to create partnerships with other departments and organizations whose cooperation is vital to the success of the operation. Strategic perspective and ability to build market awareness; demonstrated ability to lead a team and invest in the success of others. Ability to lift heavy items (20 to 50 lbs) to support operations.

Strong leadership capabilities; superior planning/organizing skills; project management and task coordination skills; ability to build consensus and work as a team; excellent written and oral communication skills including discretion and judgment; political astuteness and a knowledge of protocol and social custom; superior interpersonal skills-flexibility, tact, perseverance; demonstrated ability to provide a consistently high level of service.
