The Administrative Assistant I conducts administrative functions in support of departmental and College goals and objectives; functions as a generalist within an assigned area of responsibility and assigned special projects as directed. This grant position will be eligible for participation in the Florida Retirement System (FRS) after 6 consecutive months of continuous employment. This is a temporary grant funded position.

•Provides administrative and clerical support to the Department
•Drafts departmental correspondence
•Assists with staffing, usage, reports, agreements, and travel arrangements as assigned
•Compiles and handles distribution of internal and external documents
•Provides accurate information and guidance relating to all aspects of administrative operations
•Assists management with budget modifications and/or clarifying budget issues
•Acts as liaison between assigned area and other college departments
•Trains staff and prepares payroll as assigned
•Coordinates administrative functions and handles special projects as assigned
•Accepts assignments (as needed) may be assigned as recording secretary to the District Board of Trustees; responsible for coordinating the preparation and distribution of the Board agenda, disseminates Board policy and procedural information
•Functions as an Office Manager when needed
•Performs other duties as assigned

•Bachelor’s degree with major courses in subjects related to assigned responsibilities and two (2) years of related experience and/or training; or Associate’s degree or business school degree/certificate from a regionally accredited institution and five (5) years of progressive office experience as a secretary; or any equivalent combination of experience and education
•All degrees must be from a regionally accredited institution
•Knowledge and understanding of college organization, goals and objectives, and policies and procedures
•Knowledge of the principles of office management, practices, procedures, equipment and operational requirements of the department
•Expertise in Microsoft Office and database applications
•Ability to demonstrate creativity skills
•Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures, or governmental regulations
•Ability to write reports, business correspondence and procedure manuals
•Ability to effectively present information and respond to questions from groups of managers, clients, costumers, and the general public
•Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists
•Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form
•Ability to work a flexible schedule to include evening and weekend assignments
•Ability to work in a multi-ethnic and multi-cultural environment with students, faculty, and staff
