A part-time Administrative Support Assistant is needed to provide support for the Wildcat Corps (AmeriCorps) project and the Take Charge America Institute financial education program. This position would assist with important hiring and billing processes for the AmeriCorps Program with over 76 members and a $300,000 yearly budget. This position supports the efforts our Cooperative Extension AmeriCorps program. Over the past year, 76 UA Wildcat Corps Members served over 32,000 hours in 12 Arizona counties and 3 tribal communities in 30 different programs, supporting STEM education programming to more than 26,000 people last year and mobilized over 2,000 volunteers who provided 8,400 hours of service. In addition, this position will support the TCAI Take Charge Cats and Extension Financial Education programs. The Take Charge Cats middle and high school peer educator financial education program is delivered to over 1,000 students annually at 35 partnering schools in the Greater Tucson Area and the Extension Financial Education program assists five rural counties in the delivery of this important programming.

Duties & Responsibilities

Performs a variety of administrative duties including:

  • Document preparation
  • Scheduling meetings and event coordination including: workshops, assist with planning annual events
  • Travel arrangements
  • Website/social media updates
  • Record keeping, supply inventory and data entry (assisting sites/members with paperwork; reviewing paperwork; setting up members in the UA system; administering changes to system)
  • Creates and updates departmental files, databases and reports
  • Completes, checks, and processes HR-related forms and documents
  • Responsible for basic employee file maintenance (e.g., background checks: arranging for Truescreen and Fieldprint systems; tracking UA background checks; providing guidance on all 3 processes to the sites/members; running NSOPW checks if the Truescreen check does not clear before start date; ensuring we stay in grant compliance)

Knowledge, Skills & Abilities:

  • Verbal/written communication skills in English with a demonstrated ability to read and comprehend written/graphic and oral instructions
  • Previous community outreach experience
  • Effective communication skills, written skills, and interpersonal skills.
  • Excellent organizational skills
  • Proficiency with computers and software applications (i.e. social media platforms, background check resources)
  • Attention to detail
  • Ability to maintain quality, safety and efficacy standards
Minimum Qualifications
  • High school diploma or equivalent, or equivalent learning attained through experience required.
  • Minimum of 3 years of relevant experience required.
  • Access to internet to work remotely.
  • Availability to work flex hours as needed, to include evenings and/or weekends for events outside of regular business hours.
Preferred Qualifications
  • Two (2) years of experience related to community programs
