The Cavalier Marching Band, a unit of the University of Virginia (UVA) Music Department in the College of Arts & Sciences, is seeking a qualified candidate to fill the part-time position of Marching Band Administrative and Events Assistant. The Marching Band Administrative and Events Assistant provides administrative and event organization, coordination, and support necessary to ensure the success of Marching Band operations. The incumbent provides a professional interface between the Marching Band directors and students as well as multiple constituencies including the UVA Music Department faculty and staff, University administration, Athletics department personnel, alumni, parents, volunteers, donors, and community members.
The administrative duties of the position include drafting correspondence, collating and formatting program notes, communicating information to the Music Department staff, providing guidance to student office staff, maintaining office supplies and equipment, assisting the Assistant Athletics Band Director with equipment inventory, and other clerical and administrative duties as assigned by the band directors. The position is responsible for supporting the non-performance aspects of events including game days, concerts, camps, banquet, rehearsals, special events, etc. Duties will require transportation such as driving the Marching Band box trucks, transporting guests, transporting food and drinks, picking up supplies and copies, dropping off promotional materials to local middle schools and high schools, etc. Duties will require heavy physical lifting, computer skill with the Microsoft Office Suite, Adobe Acrobat, and the ability to communicate ideas well both orally and in writing.
The work week will vary with event schedules and will frequently occur during the evenings and on weekends as well as over some holidays. The position reports to the Director of Bands, but also works very closely with all assistant band directors and the Music Department's Finance and Administration Manager.
Applicants must have a high school degree or equivalent, and a valid driver's license. At least two years administrative experience organizing major events or providing support with major logistical arrangements is preferred. A college degree will substitute for experience. Experience working with or being in a marching band is also preferred.
This is a part-time 25 hours per week benefited position. Anticipated Hiring Range: $15.00 - $18.00 per hour, commensurate with education and experience.
