The Department of Cell & Systems Biology promotes research and teaching in some of the most dynamic and vital areas of biological research. Your opportunity:

This is a one-year maternity- leave replacement.

Under general direction of the Chief Administrative Officer and reporting directly to Undergraduate and Graduate Administrators, the incumbent provides administrative and program support for the Undergraduate and Graduate Offices as well as backups for the Departmental reception desk.

Your responsibilities will include:

  • Responding to enquiries within the defined scope of the role and redirecting as appropriate
  • Providing detailed information to students on program and/or course requirements
  • Collecting and passing on submissionsfor award competition
  • Maintaining information on digital platforms
  • Writing routine documents and correspondence
  • Coordinating meeting schedules, agendas, materials, action and follow-up items
  • Determining logistical detailsand activities for events and/or programming
  • Collating and organizing data for various reports

Essential Qualifications:

  • Advanced College Diploma (3 years) in Business Administration or Biology or equivalent combination of acceptable education and experience
  • Minimum two years of recent and related experience working in a post-secondary environment, providing program and administrative support to graduate and undergraduate programs and workingdirectly with students to provide information on programs and academic courses.
  • Experience coordinating logistic events such as recruitment events
  • Experience with providing information to students on admissions and related processes
  • Experience preparing and writing documentations for programs and events
  • Experience updating, maintaining records on websites and systems and ensuring accuracy, including student records and marks
  • Experience working with committees and taking minutes
  • Experience working in a busy, fast-paced environment with a high volume of student inquiries and providing front line customer service support
  • Demonstrated experience organized data and preparing reports
  • Excellent oral and written communication skills
  • Demonstrated skills in Microsoft Word, Excel, and Power Point
  • Demonstrated proficiency with web page editing
  • Solid working knowledge of a University student information system: ROSI, ROSI Express and Degree Explorer
  • Excellent problem-solving, organizational and administrative skills
  • Excellent customer service skills, and interpersonal skills, with the ability to communicate effectively with students, staff and faculty
  • Familiarity with the Faculty of Arts and Science, the School of Graduate Studies practices and procedures
  • Solid knowledge on academic polices and procedures including: general admission process, program/degree requirements and application process
  • Excellent time management skills with the ability to meet competing demands
  • Strong skills in organizing and summarizing data

Assets (Nonessential):
