Position Summary

Reporting to the Vice President of Research and Innovation, the Executive Assistant provides high level administrative and programmatic support for the Vice President for Research and Innovation and management team. This position will serve as a liaison between Research and Innovation office and other senior University officials, deans, faculty, staff, and students. The Executive Assistant will serve as a liaison with senior managers of the division and with the Vice President’s direct reports.

The responsibilities included but not limited to researching, planning, coordination, implementation, maintenance, and on-going support to operational areas and programs impacting the delivery of services. The Executive Assistant coordinates and/or performs highly sensitive and confidential administrative project management on behalf of the Vice President and senior management team with responsibility for achievement of unit goals and positive unit/University impact.

With a high degree of autonomy, the Executive Assistant coordinates meetings, projects, activities, inquires and replies, for and of behalf of the Vice President. The ideal candidate will have the highest level of written and verbal communication skills, professionalism and tact, as well as a working knowledge of the University, CSU, and State of California infrastructure, policies and procedures.

This is a full-time (1.0 time-base), benefits eligible, permanent (probationary) position. This position is designated exempt under FLSA and is not eligible for overtime compensation. Standard work hours are Monday – Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs.

Education and Experience

A basic foundation of knowledge of the principles of organization, administration, and management; and the ability to analyze and find solutions to problems, work independently, communicate effectively, and write clear and concise reports. Some positions may require a basic knowledge of research techniques and statistical methods. This foundation would normally be obtained through a bachelor’s degree or professional training program specific to the position (e.g. Certified Public Accountant) and directly related work experience, or a combination of education and experience which demonstrates the ability to perform the essential functions of the position.

Specialized Skills Required

  • Exceptional interpersonal skills, including strong public speaking, listening, and interpretive skills
  • Exceptional written communication skills, including the ability to write complex and detailed reports and proposals.
  • Ability to plan ahead, build and retain a knowledge base of current and historical data, retrieve and organize relevant, complex material
  • Proven ability to work cooperatively and effectively in a fast-paced environment.
  • Ability to independently handle multiple work unit priorities and projects
  • Proficiency in MS Word, Excel, PowerPoint, and Access

Preferred Qualifications

  • Undergraduate degree from an accredited college or university
  • Three years of progressively responsible experience in a position requiring a high degree of judgment, discretion, and initiative to coordinate activities associated with an executive or senior management office including calendar management
  • Experience working in a large public sector, non-profit, or educational institution
  • Demonstrated experience with and/or commitment to working effectively with individuals from diverse backgrounds and members of underrepresented groups

Compensation and Benefits

San Diego State University will offer a competitive salary based on the qualifications and experience of the selected candidate. CSU Classification Salary Range: $4,233 - $9,514 per month. Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.
