Intermediate Administrative Assistants perform clerical and administrative work to support a single person, a group of people, an office, or a program. They work under the general direction of a supervisor, and have a demonstrated capacity to work independently as well as the authority to make decisions based on standard operating procedures and policies, or per the guidance of leadership. They may have latitude to set procedures to accomplish work tasks.

Intermediate Administrative Assistant

The Department of Psychology seeks applicants for a part-time, temporary Intermediate Administrative Assistant position to provide support for a composite of several operational functions including fiscal administration, procurement, academic support, student services, communications, and other administrative functions.

Responsibilities:

  • Serves as reception point and information/referral coordinator for incoming telephone and electronic contacts and visitors to Psychology Department: Provides multi-line phone support to assist, screen, or refer callers appropriately. Provides coordination between multiple remote dept locations
  • Maintains majordomo lists.
  • Reads and responds to all "psychology" mail.
  • Academic and Research Support for Faculty and Research Professionals
  • Equipment, Procurement and Facilities Management:
    • Oversees office equipment and supply inventory.
    • Orders replacement supplies as needed, as well as special orders using P-card.
    • Maintains inventory of recurring administrative supplies as required.
    • Oversees purchase card account, and other office purchases as required.
    • Monitors universal psy-buy mail account in support of purchasing coordinator.
    • Reports all maintenance calls to Facilities Management.
    • Coordinates, issues, and orders keys and maintains database for this process.
    • Coordinates and monitors parking
  • Event Support:
    • Provides comprehensive planning and logistical support for colloquia and other special events
    • Develops plans for events to include format, speakers, dissemination of information.
    • Directs coordination of arrangements.

The anticipated salary range for the position is $20 – $22.00/hr.

This part-time, temporary position will remain open until filled.

Anticipated 29 hours per week

Minimum Requirements:

Education: High School Diploma is required. Bachelor’s degree preferred

Experience: At least two years of relevant experience is required. Experience in a UVA academic setting with Oracle, Workday, Collab, Chrome River and SIS is preferred.

Required Competencies:

  • Proficient in use of Microsoft Office applications including Outlook, Outlook Calendar,
  • Excellent interpersonal skills, written and verbal communication skills are required.
  • Working knowledge of office practices, with demonstrated skill in handling fast paced and often competing pressures on one's time.
  • Command of confidentiality and tact are required.
  • Ability to manage interactions with faculty, and student visitors as well as public officials, study participants and clients is required.
  • Administrative experience in an administrative environment preferred.

PHYSICAL DEMANDS:

This Position requires the incumbent to remain in a sitting position while entering data on the computer. In addition, the incumbent must have the ability to lift 20 pounds and stand for sustained periods of time opening packages, shipping and receiving, and restocking office supplies in the main office. All of this requires the use of repetitive motion, use of both hands, use of either hand independently, fine finger manipulation, and wrist movement as well as bending, stooping and standing.
