The L&S Office of Undergraduate Advising (OUA) consists of 4 faculty Deans, 1 Director, 5 Assistant Directors, 31 College Advisers, 10 F/T staff, and numerous student employees and graduate interns. The OUA staff provide advising and counseling to prospective students, new freshmen and transfer admits, currently enrolled and readmitted undergraduate students parents/family, faculty, staff of other administrative units or educational institutions regarding academic programs, enrichment and co-curricular opportunities, policies, procedures and College and University requirements. Advisers assist faculty deans in the enforcement and adjudication of academic regulations of the College and the Faculty Senate to ensure the integrity of the degree and the continuing quality of the institution. Decisions made by OUA impact all academic units within the College of Letters & Science and set precedent for other schools and colleges on campus. Services provided include scheduled individual advising sessions, virtual advising, group advising, satellite advising, web-based advising, advising workshops, Golden Bear Advising orientations and Welcome activities, and Virtual Front Desk . Intake Advisers are assigned to an advising neighborhood.
The Student Academic Advisor 2 (or Intake Adviser) provides the first point of contact for students requesting services of the L&S Office of Undergraduate Advising, a fast-paced, appointment-based office setting delivering advising services on a year-round basis to current university students. The role requires a broad understanding of the diverse administrative functions and technical problems involved in a busy, student service office at a large public university. The Intake Adviser responds to general advising questions as well as makes referrals to campus resources.
- Intake Advisers help staff the reception area (in-person at two locations or virtually), maintain a professional and positive attitude when responding to inquiries, requests or complaints from students, faculty, or staff and assist in their resolution. Working on behalf of the College, the Intake Adviser uses professional concepts to identify students' needs, answer quick questions, offer prescriptive academic advising on academic policies and procedures, and provide referrals to College Advisers, Deans, and/or other appropriate campus resources.
- Other responsibilities include processing petitions, assisting the assistant and associate dean, and serving on internal advising projects.
- Intake Advisers listen to and empathize with students experiencing a wide range of difficulties and are extensively trained to answer questions concerning the academic concerns, rules and regulations of the College of Letters & Science.
- Identifies student needs for programs and services.
- Work closely with College and Peer Advisers and applies professional concepts to independently provide prescriptive advice and assistance to students for information regarding:
- Degree Requirements (general education, breadth, majors, double majors, minors, academic probation, dismissal, declaring candidacy for degree, upper division units, withdrawal)
- College Policies and Deadlines (adding and dropping classes, incompletes, grading policies)
- Rules and Regulations (unit limitations, AP credit, concurrent enrollment, minimum/maximum units, repeating courses, senior residence, readmission)
- Petitions and Forms
- Quick Question Line
- Applies professional concepts to independently provide prescriptive advice and assistance to students on academic and degree progress and major requirements for the department/school/college.
- Provides information to students on programs with special, clearly articulated eligibility requirements such as honors programs, awards, fellowships, scholarships, and advanced level courses.
- Refers students to SAA3 when students need to discuss moderately complex issues such as multiple degrees, or withdrawal from the University.
- Updates and maintains student records including medical withdraws forwarded by UHS, reviews and processes double majors, reviews and processes readmission applications, and generates notifications. manages department-wide scanning process and equipment.
- Intake Advisers actively participate as a member of the advising team and neighborhood, and participate in office staff development, workshops, programs, and administrative functions; attends meetings.
CAMPUS RESOURCES, and LIAISON:
- Serve as campus resource and liaison to a number of academic and administrative units on campus; provide information, clarification, and interpretation of College policies to the staff and faculty; refers students to non-academic resources as appropriate.
- Communicates and exchanges information with other units on campus and makes referrals to help students with their academic program (e.g., Cal Student Central, Admissions, Registrar, University Health Service, Disabled Students Program, Colleges/Schools, Transfer Center, academic departments, New Student Services, Financial Aid, Summer Sessions, Berkeley International Office, EOP, Graduate Division, etc.).
- Consult with other student service units regarding students experiencing academic, financial, and personal difficulties.
- Demonstrate commitment to professional growth and development as well as innovation and improvement of counseling and administrative skills.
- Remain current with trends in higher education and the advising profession locally and nationwide as they apply to today's college students.
- Maintain professional growth and development through attendance at weekly office-wide training sessions, seminars, conferences, and cross-campus committees, and through participation on campus-wide committees and in professional organizations.
- Attend and give presentations in the office and at conferences, such as the UCB Advising, Counseling, and Mentoring Conference, campus workshops, webinars, and practices, UC system-wide academic advising conferences, and regional and national NACADA conferences.
- Basic knowledge of academic advising techniques.
- Knowledge of academic departments, courses and majors.
- Knowledge of department/school/college policies, procedures, and requirements as related to academic advising.
- Ability to learn new technologies quickly.
- Ability to make sound judgments and convey clearly office policies and procedures.
- Abilities in problem identification, reasoning, and ability to develop original ideas to solve problems.
- Strong written and verbal communication skills, including active listening.
- Ability to multi-task, meet deadlines, and pay attention to details.
- Bachelor's degree in related area and/or equivalent experience/training
Salary & Benefits
This position is a non-exempt, bi-weekly paid position. Hourly pay for this role is commensurate with experience.
