The Student Academic Services Office is a central unit in the Graduate School of Education and is responsible for many of the administrative aspects of students' degree and credential programs, including: student recruitment, admissions, credential and advanced degree advising, maintenance of student records and related data, certification of public school personnel, student registration and enrollment, course and room scheduling, review of student academic appointments, undergraduate minor program advisement, fellowships, new student orientation, and commencement. The incumbent is responsible for managing the operation of the Student Academic Services Office, including the independent supervision of six staff members, and setting goals and priorities in accordance with the School's mission. The School presently offers three advanced degrees and four credential options through its three main areas of study. The School enrolls 337 students, and serves another 350 undergraduate students through its Education Minor.
Advanced Degree Matters:
- The Director of Student Services oversees the work of the Graduate Assistant who handles most of the advanced degree advisement for the School's students.
- The Director also works closely with the Head Graduate Adviser on a variety of advanced degree matters (e.g., length of time-to-degree) and provides background information on School and Graduate Division policies and procedures.
- The role uses independent judgment to handle most matters, consulting with the Head Graduate Adviser in serious cases having policy implications and, as appropriate, referring some cases to the School's Policy Committee, or the Dean for review and decision.
- Oversees the work of the Admissions Coordinator who handles the admissions function of the School.
- Meets with key program faculty at the start of the admission cycle to review admissions policies and to ensure uniformity in their implementation across programs.
- Working with the Dean, determines the number of new students that each Cluster or Program will be able to admit each year (based on the School's overall admissions allocation received from the Graduate Division).
Student Academic Appointments:
- The Director provides students and faculty with information about appointment requirements, particularly those governing “exceptional” appointments, and reviews students' academic eligibility.
- The role approves routine appointments, with problems referred to the Head Graduate Adviser.
- Oversees intensive effort at the beginning of each semester; contacting students to ensure that they are registered by the campus census deadline and enrolled in sufficient course units. This often requires helping them resolve financial and other registration problems (e.g. “blocks”) and following up with central campus offices.
- Oversees the work of the School's Credentials Analyst.
- Develops and recommends implementation policies, for regulations affecting our programs.
- Assists the faculty director in CCTC (accreditation) reviews of the School's credential programs.
- Oversees the work of the Undergraduate Minor Adviser.
- Participates on the Undergraduate Minor Committee which is charged with guiding the academic and nonacademic aspects of the Minor.
- Issues such as setting enrollment limits, levels of GSI support, enhancing student advisement, and ensuring adequate course availability, all have direct or indirect workload ramifications for the Manager.
- Oversees the work of the School's Fellowships Coordinator.
- In addition to awarding monies from the School's Block Grant, a number of other departmental funds to distribute.
- Works with the Fellowships Committee to develop proposals for improving our financial support of students.
- The manager plans, coordinates, and executes all aspects of the School's Commencement (venue, speakers, music, catering, and program logistics) with assistance from Student Services staff on the day of the event.
New Student Orientation:
- Plans, coordinates, and implements this all-day event (speakers, catering, staffing, and program logistics).
- The manager also works with student leaders in the School on various aspects of this event. Also, with several Student Services staff members, provides mini Orientations to entering students in our summer-start programs.
- Evaluates the effectiveness of the student services function, and makes changes to the program to provide better service to organizational management, faculty, and students
- Plans and develops the student services budget for the organization in consultation with the Assistant Dean for Administration.
- Sets priorities for the unit - decides which resources will be committed to goals and objectives and how they will be allocated.
- Makes decisions on performance, salary actions, hiring decisions and other human resources related issues of managed staff.
- Provides direction to professional student services staff on the more complex issues they encounter.
- Recognizes issues that have campus impact or future implications and advises the managed employees accordingly.
- Represents the student services unit to the campus community and relevant external constituencies.
- Attends campus meetings and workgroups sponsored by the Graduate Division, the Registrar's Office, Public Ceremonies, and other appropriate offices.
- Represent the School at the annual Commission on Teacher Credentialing conference.
- Committees - Much of the ongoing work done by the Manager is generated by the committees and workgroups in which the Manager participates.
- Dean's Senior Staff Workgroup - brings academic and nonacademic issues to the attention of the Dean and senior staff for review, discussion, and decision.
- Professional Programs Committee - the Manager proposes items for discussion, and provides background information.
- Participate in the CTC's Accreditation Review of the School's credential programs.
- Policy Committee - this committee, comprised largely of faculty members, provides advice and counsel to the Dean.
- The Manager attends to report on issues affecting student, and student services in the School, and to provide any needed background information/data for the committee (e.g., enrollment data, faculty advising load data).
- Computer/Data Projects - Coordinates the School's response to the annual U.S. News & World Report Survey.
- Generates and analyzes data reports for this; as well as produce many ad hoc data reports throughout the year for the Dean, Assistant Dean, Head Graduate Adviser, and others.
- Works with the Computer Coordinator on modifications/enhancements to the student database.
- Course Review - The Manager tracks all new courses - from initial review by the Curriculum Committee, to submission to the Dean and, once approved, to the Academic Senate's Committee on Courses of Instruction (COCI) for final approval.
- At the request of the Curriculum Committee, the incumbent reviews the content of new courses to guard against overlap with existing courses.
- The Manager also works with faculty on preparing information needed for course proposals, and serves as liaison between the School's faculty and COCI when there are questions or concerns about course submissions.
- In addition, the Manager works with the Head Graduate Adviser on the review of proposed DeCal courses before they're forwarded to the Dean, and also reviews “Directed Group Study” (298s) courses.
- Publications - With the Graduate Assistant, updates the “Handbook for Advanced Degree Students.”
- Works with the School's Editor and Graphics Designer to update the School's “Guide to Graduate Studies.”
- Miscellaneous - The Manager often works on a variety of ad hoc projects or issues.
- Knowledge of education as an academic and professional field
- Advanced knowledge of advising and counseling techniques.
- Knowledge of or ability to learn University, Graduate Division, and School, program and degree requirements.
- Knowledge of or ability to learn University-specific computer application programs (e.g. Calcentral) and pertinent databases (4-D).
- Knowledge of or ability to learn University and departmental principles and procedures involved in risk assessment and evaluating risks as to likelihood and consequences.
- Skills in monitoring/assessing people, processes or services, to make improvements.
- Skills in project management, social perceptiveness to be aware of others' reactions and understanding why they react as they do.
- Ability to effectively work with staff, faculty, and students.
- Ability to multi-task and prioritize competing projects and deadlines.
- Ability in problem identification, reasoning skills (verbal and written).
- Ability to develop original ideas to solve problems, persuasion, leadership.
- Bachelor's degree in related area and/or equivalent experience/training.
Salary & Benefits
This is an exempt, monthly paid position. Annual salary is commensurate with experience.
