The Grants Management Coordinator is responsible primarily for post
award processes assisting faculty and staff with timely and successful post-
award administration of externally or internally funded awards and in
developing and providing guidance on sponsored projects for compliance
within sponsor, university, state and federal requirements, ensuring all
sponsored funding is expended according to the terms of the award. The
coordinator is also responsible for post-award training for faculty, staff
and students engaged in a broad range of research and creative activity,
assisting the director in compiling and developing reports necessary for the
overall assessment of the unit and in developing supporting infrastructure
that includes policies and procedures to enhance faculty research
productivity and capacity. The person in this position will also have
knowledge of the grants cycle and be able to provide assistance to the
director in proposal submissions if required. Training and Experience: The Training and Experience have been updated as of 11-25-20

Bachelor's degree or higher in business administration, or related field is desired
At least two years of administrative, accounting, or grant and contract administration experience is required
Experience with budgets, ledgers, invoices, and fiscal reporting is desired
Experience in one or more aspects of sponsored projects administration is required

Looking for a candidate with excellent interpersonal, communication, and organizational skills. Must be able to work with confidential information and materials; have the ability to balance multiple priorities and tight deadlines while working independently as well as collaboratively and remain flexible. Testing Requirements:Illustrative Examples of Work: -Develop and maintain a library of reference documentation, including such information as funding agency requirements, forms, and other pertinent information

-Monitor and coordinate the administration of post-award processes for awards to ensure that administrative and budgeting policies, procedures and agency requirement are being followed.

-Advise the PI and project personnel during the period of award regarding their obligations under the terms and conditions of award including informing PI and unit administrators (Chairs and/or Deans) about actions that will be needed to meet the terms and conditions of the award.

-Advise faculty and staff regarding sponsor's and university process for prior approvals for changing aspects of the project (PI changes, changes in scope of work, change in time and effort, no-cost extension, absence from the project, etc.

- Initiates Project Initiation meetings with newly funded PIs to review terms of award and management requirements of new awards

-Monitor award budgets and budget changes and work with PI to ensure fiscal management

-Serve as a liaison between the principal investigator, project staff, administrative units and funding agency

-Monitor and coordinate the submission of project reports required by the terms of the award

-The post award compliance processes by reviewing award documentation terms and conditions and note changes, additional terms, time and effort reporting

-Prepare subcontracts/subawards and amendments and communicate with the project PI or designated administrator on award issues

-Monitor and facilitate paperwork processes connected with grant and contract funded programs.

-Maintain master files on grants and prepare reports on sponsored funding activities.

-Maintain currency of knowledge of grant funding policies, regulations, and procedures; assist in disseminating and/or presenting changes to departments and advises on the implementation of changes and on the impact of changes on funded operations.

Albany State University is a four-year institution in southwest Georgia offering undergraduate and graduate liberal arts and professional degree programs, and a wide range of outreach programs to the community. Albany State University is located in Albany, a progressive city of 100,000, on a 206-acre campus featuring impressive new buildings. Both traditional and non-traditional students make up the more than 4,000 students who attend Albany State. They come primarily from southwest and middle Georgia, Atlanta, other states in the U.S., and several foreign countries. The average student age is 24 and about 40 percent of the students live in on-campus housing.

Albany State offers more than 30 undergraduate degree programs, of which the most popular majors are biology, criminal justice, computer science, middle-grades education, business administration and nursing. The University offers six advanced degrees: the master of science in criminal justice, master of public administration, master of business administration, master of science in nursing, master of education in 11 majors, and an education specialist degree. The university also offers the Board of Regents' engineering transfer program and the dual degree program in engineering with Georgia Tech.

Students at Albany State stay busy after class by participating in 59 clubs and organizations including bands, choirs, religious groups, honor societies, several major Greek and honor sororities and fraternities, and ROTC. An NCAA Division II school, Albany State's intercollegiate sports include men's football, basketball, baseball, track and field, cross-country and women's basketball, volleyball, cross-country and track and field.

A historically black institution, Albany State was founded in 1903 as the Albany Bible and Manual Training Institute and supported by private religious organizations. It remained privately supported through 1917, when it began to receive state support and became the Georgia Normal and Agricultural College. It continued to grow and in 1932, when the Board of Regents was established, it became part of the University System of Georgia. The mission was expanded in 1943, and it became a four-year college and assumed the name Albany State College. In 1981 the college offered its first graduate program and in 1996 its name was changed to Albany State University.
