This position is responsible for administrating graduate programs in the department and involves administration needed to support students through application, course enrollment, graduate exams, and graduation. This position provides technical support to the department chair, administrative chair, and associate chair for graduate studies, faculty and students by disseminating information and accurately interpreting department, college and university rules. This position will maintain graduate documentation regarding applicants, matriculants and graduates to support general information.

  • Maintains accurate student records per departmental, college and university policy and procedures.
  • Reviews and processes course agreement and independent study forms.
  • Maintains and updates degree plans, such as degree auditing, when applicable.
  • Assists faculty in the administration of comprehensive and final exams and grade cards.
  • Manage graduation process, advise students of due dates; collects required forms, verifies accuracy and signatures and submit to Graduate School. Works closely with the Senior Graduate Program Advisor to ensure student deadlines are met.
  • Declares and awards certificates for degree and non-degree seeking students.
  • Tracks graduate student progress with respect to departmental achievements such as completion of comprehensive exams and final defense.
  • Builds and maintains graduate student database content for use in advising; processes transfer credit requests; releases advising holds on student accounts as appropriate.
  • Supervises retention and performance of women and underrepresented ethnic, racial, and religious minorities, and related anecdotal information, and advise the Chair and Associate Chair of relevant trends and possible interpretations.
  • Informs students and faculty about fellowship opportunities, including those for women and underrepresented ethnic, racial, and religious minorities. Assists with and implements the administrative process for department/college/university funding opportunities.
  • Maintains the department’s Graduate Handbook by updating important information disseminated by the department, college or Graduate School.
  • Provides administrative support to the Graduate Program and Students (P&S) committee on issues related to graduate student policies and procedures, graduate student handbook, and graduate student community and climate.
  • Recommends improvements to reports and processes crafted to meet department and student needs.
  • Coordinates with GEC and other engineering graduate program advisors (GPAs) in the college regarding broader programmatic issues.
Graduate Admissions and Recruitment
  • Supports graduate student recruitment efforts by generating (and sending) admission decisions and offer letters.
  • Collaborates with the Senior Graduate Program Advisor to craft and determine the process for gathering, maintaining, and analyzing graduate statistics and recruitment data regarding applicants, matriculants and graduates, and benchmarks against peer programs.
  • Designs and determines the process for graduate student orientation, working with CEAE faculty members and staff, CU Library Services, lead TAs, and the Graduate Student Organization, to plan for and to prepare presentations with the departmental Programs and Students Committee (P&S).
  • Disseminates information regarding focus-area research opportunities and curriculum requirements, available university services, department and Graduate School regulations and policies, and general information about the surrounding Boulder community.
Advising and Counseling
  • Provides point of contact for students on course registration issues.
  • Builds and manages annual audit of graduate student progress and accomplishments in collaboration with graduate students and faculty advisors.
  • Advises and counsels current students, faculty and staff on policies, procedures, rules, regulations, and graduation requirements. Is deeply knowledgeable about department, college, and Graduate School policies and procedures.
  • Provide consultations on policy and campus resources to faculty and leadership as requested, when student issues arise.
  • Consults with appropriate undergraduate advisor as needed regarding BS/MS (BAM) concurrent degree students. Assists with the BAM student application process in OnBase.
  • Maintains understanding of curricula, rules and policies at the department/program, college and university levels, and articulates these to students and faculty in the department.
Other
  • Works with the communications and marketing team to ensure that information on the department's graduate program website is accurate and that email lists are accurate/maintained.
  • Participates in professional development activities.
  • Other duties as assigned.

  • Willingness to work in an environment which may demand some flexibility or evening/weekend work.
What We Would Like You To Have
  • One year of professional-level experience supporting graduate students in STEM fields at a college or university setting.
  • Familiarity with University of Colorado's Student Information Systems (CU-SIS).
  • Experience with software that handles on-line applications and CRM for graduate student recruiting and admissions (Slate).
  • Established skills and experience using technologies that support academic advising best-practices.
  • Experience working with the academic and administrative structure, procedures, rules, expectations, policies, regulations, and formal and informal norms affecting students in a graduate program.
