Financial Aid Officer - Georgetown Universitys Nursing and Health Studies School

Georgetown University's Nursing and Health Studies School has entered into a partnership with 2U, Inc. and has built an online program that will be the equal of the five existing Doctorate, Masters and Certificate in Nursing programs, to include Family Nurse Practitioner, Midwifery/Women's Health, Acute Care Nurse Practitioner, Nurse Educator, and Critical Care Nurse Specialist. The program has 3-4 start dates and currently enrolls over 750 students. This position is at the Associate Director level, under the general supervision of the Dean of Student Financial Services and the direct supervision of an Associate Dean for Student Financial Services. This position will provide all financial aid counseling services to prospective applicants, newly admitted students, and those who enroll both full time and part time. Duties will include providing extensive financial aid counseling information about how to complete the Free Application for Federal Student Aid (FAFSA) and the Graduate Supplementary Form, providing extensive debt management and default prevention counseling and answering particular questions about loan repayment to include information about cancellation provisions for public service, forbearance, deferment, income contingent repayment.

The Financial Aid Officer will determine the appropriate cost of attendance budgets, process applications for aid, track all admitted students' aid applications to ensure they are complete on a timely basis, and award financial assistance-mostly in the form of Federal and private loans- to Graduate Nursing students in the Online Nursing Program. In addition it will act as liaison to 2U, Inc. and the Graduate Nursing Program at the School of Nursing and Health Studies. The Financial Aid Officer must completely understand the modular nature of these programs where students can obtain a Masters' degree completely on line in fifteen months of full-time study. It is anticipated that more than 75% of this population will attend on a part-time basis. This position is responsible for keeping track of these students' enrollment status, progress toward their degree, and aid eligibility using the borrower-based loan criteria. It will provide debt management and loan counseling using an array of on line tools designed to prevent student loan default and will monitor satisfactory academic progress. This position will ensure that the highest standards of integrated client services are maintained while ensuring compliance with applicable federal laws and regulations, and University policies.
  • Providing Information: The Main Campus Office of Student Financial Services provides counseling and application processing services to over 29,000 potential undergraduate and graduate applicants for aid each year. This position will handle all of the inquiries from the on-line Graduate Nursing Program, expected to grow to 800 students total.
  • Determining Eligibility, Awarding Aid, Negotiating packages: The Main Campus Office of Student Financial Services determines eligibility and awards financial aid to 7,000 applicants each year (this includes packages for students who do not actually enroll at the University). This position will handle around 800 cases each year.
  • Counseling Caseloads: The Office of Student Financial Services manages an active and inactive caseload of 800 clients each year (currently enrolled students); activities include final application processing/audit, financial counseling, monitoring enrollment status, and review of requests for additional aid in unusual or emergency circumstances. This position will maintain a caseload of 800 clients each year.
  • Assistance Awarded: The Office of Student Financial Services awards and tracks $100 million to undergraduates, $70 million to graduate students, $180 million to law and medical students in Federal, state, private and institutional funds from more than 30 different programs each year to students determined to be eligible for assistance based on program guidelines.

This position administers University scholarship, Federal grant, loan and work programs to financial aid applicants each year. Activities include application processing/audit, financial counseling, monitoring enrollment status, reviewing requests for additional aid in unusual or emergency circumstances, and monitoring students' satisfactory academic progress.

The Office of Student Financial Services operates as a team-oriented organization. Staff members are cross-trained in other areas of operations, and are expected to maintain a level of general knowledge that will enable them to contribute to group decisions about office-wide operations.

Evidence of active professional involvement in financial aid associations is expected, i.e., national and local Associations of Student Financial Aid Administrators.

Regular study of professional journals and publications, and participation in electronic e-mail discussion groups is necessary to maintain the knowledge required for this position. These include: The College Board, the National Association of Student Financial Aid Administrators (NASFAA), the Eastern Association of Student Financial Aid Administrators (EASFAA), Inside Higher Education, and the Chronicle of Higher Education websites and electronic newsletters.

Periodic review of the Federal Register, and the ability to comment on proposed federal regulations and their impact on University operations is required for this position.

Work Interactions

This position will report directly to the Associate Dean for Student Financial Services.

It is one of six positions that directly oversees and maintains the daily operations of the Student Financial Services Counseling Unit. It maintains relationships with the non-traditional graduate Nursing student population that is typically over 800 students, all of whom are enrolled in one of five graduate Nursing on-line education programs. It requires interaction with various University student services offices (Registrar, Student Accounts, Graduate Nursing Admissions, Graduate Nursing Office), the 2U office and outside organizations to achieve high quality student financial services for this new and unique group of graduate Nursing studying completely on line. This position is expected to manage and resolve student financial aid questions and requests in a diplomatic and professional manner. It plays an integral role in the recruitment and retention process by helping to achieve specific enrollment goals through timely review of the aid applications using the Federal need analysis methodology, counseling on alternative financing methods, preparing prompt financial aid notifications, and participating in client services/public relations activities most of which will take place on line, through email interaction and via telephone. It has Federal fiduciary responsibilities for and must comply with myriad Federal laws and regulations, especially those governing Federal student loans. It maintains accountability and equity in the distribution of funds, and oversees verification and accuracy of information. This position requires expertise in all aspects of student affairs including Admissions, Students Accounts, Registrar, and other relevant offices.

The Associate Director frequently communicates and interacts with prospective applicants for admission to Georgetown Main Campus programs as well as with students admitted and currently enrolled in Main Campus programs. It also interacts with many campus partners such as the Dean's Office, the Registrar, the Office Billing and Payment Services, etc.

  • A bachelor's degree and two years progressively responsible experience in financial aid administration.
  • Part-time or full-time work experience with counseling, customer service, and/or administrative support.
  • Detailed knowledge of eligibility and disbursement rules and regulations governing various federal, state, private, and institutional financial aid programs. This should include knowledge of need analysis methodologies, aid packaging theories, application verification guidelines, rules and regulations governing awards under the Title IV federal aid programs, and policies pertaining to institutional aid programs.
  • Demonstrated ability to work with a diverse student and parent population.
  • Demonstrated excellent communication skills (oral and written).
  • Demonstrated ability to collect and analyze data and to use independent judgment where appropriate.
  • Experience with and knowledge of mainframe and PC financial aid administrative software.

Preferred qualifications
  • Three to four years of progressive management experience in a financial aid office.
  • Any combination of experience with the Banner Student Information System, Microsoft Word, Cognos report writing software.
