Description:

This position supports the academic function of the College and interacts directly with more than half of the student population each year.  Responsibilities include, but are not limited to, supporting the day-to-day operation of the Registrar’s Office, administration of the transfer credit process, student record maintenance, working directly with the Off-Campus Study Abroad program to track and obtain course approval, facilitating presentations related to transfer credit and academic honors reporting and processing.  In addition, this position works closely with students, faculty and other offices to assist with processes and help others understand compliance with College policy and procedure. 

Responsibilities:

Transfer Credit:  Work with students who are studying abroad or taking courses at other institutions to ensure that courses are approved and applied to the student record.  This includes collaborating with students and faculty to understand the process and find transferable courses, reviewing and accepting transfer credit petitions, reviewing and evaluating transfer transcripts, entry of transfer credit into Colleague. 

  • Schedule and facilitate student meetings and presentations regarding the Colleges transfer credit policy and procedures.  Perform the independent final review of all transfer documents, ensuring they are compliant and submission deadlines are met, referring unique scenarios to the supervisor for review as needed.

Off Campus Study – Works closely with the Off Campus Study Office to assist students and staff with the process to declare leaves, apply for transfer credit, track and review student progress, secures approvals from advisors and department chairs.  Additionally, works with the Hamilton Off Campus Programs to maintain records for non-Hamilton students participating in programs abroad, registration of all students, program course maintenance and processing of grades.  Works directly with the Program Assistants in China, France and Spain and with the Business Office to ensure records are accurate and updated in a timely manner.

Academic Honors and Reporting – Prepares lists of students for department to determine Graduation Honors, Class and Charter Day, Convocation, and Honorary Societies and processes reports and data for departments for research or college initiatives. 

Office Support – Responsible for responding to student walk ins, answering phones, responding to general email, and assisting with general questions related to all of the College’s policies and procedures.  Also, responsible for assisting with other functions in the office when team members are out of the office or need assistance. 

Perform other duties as assigned including actively participating in building our diverse, inclusive, and equitable campus community.


Qualifications:
  • Bachelor’s degree in a related field preferred.  Associate Degree in a related field required. 
  • Experience in a College environment working with young adults and customer service background preferred. 
  • Experience with data collection, maintenance, and database reporting preferred.
  • Equivalent combination of education and experience will be considered.

  • Computer skills: MS Word, Excel, PowerPoint, and databases.

  • Demonstrated customer service skills. 
  • Demonstrated ability to be a team player and exercise independent judgement.
