DescriptionThe Coordinator will bereporting to the Operations Manager and will be performing complexadministrative functions for the Surgery Department for the School of Medicine.The Coordinator's main responsibility will be drafting, editing, and composingcorrespondence; typing departmental reports, correspondence, and confidentialdocuments; coordinating the scheduling of ancillary services and OR procedures;coordinating travel arrangements; preparing travel and expense reports;managing physician calendars, and other administrative duties in the clinicalpractice area. The Coordinator will also be responsible for individualanalysis, regular exercise of judgment in making decisions; providing customerservice to walk-ins to the department; answering telephone and e-mail messageswithin twenty-four hours to ensure timely resolution of problems; andparticipating in the interpretation of University policies and procedures.Performs other duties as assigned.


Providesprompt customer service to students, parents, employees, and other UniversityDepartments. Answer telephone and email messages within 24 hours to ensuretimely resolution of problem accounts. Follows up with other departments toresolve incomplete or problem situations. Maintains interpersonal contact andcommunication with students, parents, employees, other University Departments. Ensuresthat filing is performed timely and accurately. Fills in as receptionist asneeded, answer questions via telephone and face to face contact. Provideaccurate information to students, parents, employees, and other UniversityDepartments. Participation in the interpretation of policy and procedures.


RequiredEducation & Experience:

At leastfive years of related experience required. An equivalent combination of educationand experience may be considered.

 

RequiredSkills & Abilities:

*Demonstrated computer skills, and ability to operate all standard office equipment and software including MS Office.
*Excellent interpersonal and customer service skills, along with the ability to interact with a diverse group of students, staff, faculty, and patients.
*Excellent written and verbal communication skills.
*Strong organizational skills.
*Demonstrated ability to work independently particularly during peak schedules.

 

Preferred:

* Experiencein surgical outpatient specialty practice required.

*Bi-lingual(English, Spanish)

*Previousexperience in surgical outpatient practice and surgical scheduling highlydesirable.
