Financial Management Services (FMS) is a unit of the Business Affairs Office consisting of five primary organizations: Controller's Office, Treasurer's Office, Purchasing & Payment Services, Global Operations, and Financial Management Consulting and Support. FMS works with other Business Affairs units to provide integrated financial, technical, and business services for the benefit of the Stanford Community. The Financial Management Services (FMS) organization is led by the Sr. Associate Vice President for Finance and is charged with leading and managing the financial and management accounting activities for the University.

Our new Stanford Redwood City campus will is the workplace for approximately 2,700 staff whose jobs are important to supporting the university's mission. The campus brings departments together in a collaborative environment that reflects Stanford's culture and mission. The campus will offer amenities such as onsite cafes and a dining pavilion, a high-end fitness facility with an outdoor pool, and a child care center for Stanford families.

The Accounting Associate will provide accounting and finance-related support to a department/unit, program or an accounting/finance function.

Your responsibilities include:
  • Process In-house Checks Payment runs for Will Call (DAPER/CWC/PWC), Leases (AP), Garnishments (Payroll), Escheatments.
  • Campus Run - Drop off Stanford Checks, Payroll Checks, T and P-Cards, Pick up 20410 PO Box Mail and Check Deposits, SLAC
  • Campus Run - Pick-up Mail (20410 PO Box, 3145 Front Desk, ID Mail, FSC Drop Box, Procurement Mail Slots) and sort Incoming Mail and Redirect/Research mail that don't belong to us.
  • Open/Sort invoices mail picked up from Post Office/Department Mail - sort and distribute to appropriate teams.
  • Return/communicate invoices without proper documentation of PO to the vendor for resolution or processing in AP.
  • Scan Invoices for AP and scan documents for Payment Services team (Upload to AP Server, Save Soft and Hard copies)
  • Log checks (Refund Checks) Review and research for missing info and outreach to obtain missing info needed, save scanned images of checks and e-mail communications when needed.
  • Postage for Outgoing Mail AP, TR, Payment Services, Other Depts as needed
  • Monitor Daily Scheduled Payments and Reports in Oracle and Report Error Payments (Zero Dollar, OutSourced Checks) including transmission files.
  • Review “Missing Remittance Report” (Run/Save Report, Research, Communicate with Supplier Team)
  • Complete/process Service Now FSC Tickets
  • Log Stanford Checks Returns Voids, ACH, Refund ER Checks, Fraud, No Payments issues.
  • Process Check Stop Payments, Check Pulls (Wells Fargo), Voids (Oracle)
  • Generate report for ACH Payments Returns and Reversals (Wells Fargo), Generate ACH NOC reports (Wells Fargo) and save ACH Secure Delivery reports (Wells Fargo) Voids (Oracle), Communicate to Supplier Enablement and AP/TR Processors
  • Run and review AP Rejected Payments Report and Communicate to Supplier Enablement and AP/TR Processors
  • Assist in periodic internal and external audit by providing payment information required by the auditors.
  • Assist in completing system testing as needed.

    To be successful in this position, you will bring:
  • Two years Associate Degree or four years equivalent of administrative/accounting experience
  • Excellent verbal and written communication skills
  • Superb organizational and attention to detail
  • Exceptional customer service and interpersonal skills
  • Initiative to manage and prioritize daily operational requirements
  • Computer skills and demonstrated experience with office software and email applications required
