The American Dental Education Association (ADEA) is seeking to add an experienced Senior Manager of Admissions Operations and Reporting to our team of high-performing professionals.

This position resides in ADEA’s Division of Educational Pathways which oversees the recruitment and application processes for the dental professions. In this position, you will manage the operations for two services: ADEA DHCAS® (ADEA Dental Hygiene Centralized Application Service) and ADEA CAAPID® (ADEA Centralized Application for Advanced Placement for International Dentists). You will also provide support for some of the division’s reporting and data needs for the application services. Strong project management, relationship development, data analysis and problem solving are key to this position as it balances multiple priorities and interacts with multiple constituents.

Primary Responsibilities


The Senior Manager will oversee two of ADEA’s four application services. Management of ADEA DHCAS and ADEA CAAPID includes:

  • Providing customer service to program directors and admissions staff of participating and interested programs.
    • Serving as primary contact for all stakeholders.
    • Providing consistent, relevant information to programs, training users on all platforms and providing administrative support to related committees.
    • Presenting at conferences and running meetings.
  • Leading daily and annual operations.
    • Preparing each service for an annual launch, inclusive of updating relevant materials, maintaining associated databases and testing all products.
    • Maintaining and enhancing the annual planning process.
    • Identifying problems and determine solutions on an ad hoc and annual basis, working frequently with technology partner, Liaison International.
  • Communicating with applicants about the application processes and responding to inquiries and errors.
    • Updating website content including applicant instructions.
  • Co-leading recruitment activities to increase program participation.
    • Working with colleagues to create recruitment goals and plans.
    • Creating online and print materials.

2. Manage data and reporting for the application services.

The Senior Manager will review and analyze the data available through and for the application services, focusing on ADEA CAAPID and ADEA DHCAS. Management of these processes include:

  • Completing the Weekly Report to ADEA leadership.
  • Extracting, reviewing and analyzing data for ADEA CAAPID and ADEA DHCAS.
  • Fulfilling report and data requests for application services.

3. Contribute to team and ad hoc projects.

The division maintains several projects and events that involve all team members like recruitment activities. Similarly, new resources and opportunities arise frequently, requiring development and implementation. The Senior Manager will be expected to take an active role in all division-wide projects.

Six Month Goals

  • Complete WebAdMIT and Visual Analytics trainings.
  • Transition to be the primary lead on the Weekly Reports.
  • Execute ADEA CAAPID UAT and configuration approvals.
  • Create the ADEA CAAPID matriculation reports for 2020.
  • Devise ADEA DHCAS enhancement document for 2021-22 cycle.
  • Generate ADEA DHCAS and ADEA DHCAS applicant communications.



  • Bachelor’s degree and a minimum of five years of relevant experience is required.
  • Track record of overseeing multiple high-level priorities (daily operations and strategic planning) while also maintaining attention to detail.
  • Experience utilizing software, databases, and reporting structures to gather and explore data. A successful candidate must be able to both collect information and provide written analysis.
  • Proven success in developing and maintaining strong business relationships with clients. A successful candidate must be able to balance the needs and expectations of the Association, vendors and related constituents.
  • Ability to work in a fast-paced, team-based environment, make decisions under pressure and interpret feedback to make appropriate changes to the position workflow. A successful candidate must be self-aware, organized, confident and accountable.
  • Ability to travel for ADEA meetings (estimated 4x a year).


  • Familiarity with admissions, student affairs and/or health professions.
  • Familiarity with application management software and admissions and application processes.
