General Summary

Reporting to the program Director, the Project Coordinator is responsible for managing the SSS case management processes which include data entry, data management and regular updates to the program database. The Project Coordinator will assist the program Director and Director of TRiO programs regarding reporting tasks for the SSS program using computer technology and software, including data gathering, data inquiry, data validation, requesting and utilizing university data in generating summaries and TRiO data reports. The Program Coordinator will assist in the preparation of the TRiO SSS Annual Performance Report (APR) that is sent to the U.S. Department of Education. The Project Coordinator is responsible for general clerical duties such as creation of student files, departmental files, correspondence, meeting agendas and notes and other clerical work necessary for the program. The Project Coordinator will assist the Director in the hiring, supervision, training and guidance of student employees and interns.

Responsibilities & Duties

  • Initiate and conduct intake process, including downloading SSS applications, collection of university documents, demographic and income information to determine prospective participant eligibility.
  • Perform and complete accurate data collection, database management pertinent to candidate application, eligibility, academic need, and academic performance and grades and ensure all documentation is in place following federal guidelines prior to acceptance into the SSS program.
  • Provide regular reports to SSS director regarding status of each candidate with recommendations for participant selection based on above assessments.
  • Conduct incomplete application outreach.
  • Prepare information for reports, data analysis and data evaluation, perform analysis of grant data utilizing SSS database and PeopleSoft, and provide and submit data for institutional reporting to SSS director.
  • Prepare and submit accurate data for completion/submission of the Annual Performance Report following federal mandates.
  • Assist in the training and data collection involving annual graduate advising interns.
  • Manage online (Qualtrics and BlueStar) service database, program evaluations and other research program projects as determined by TRiO Program Information Manager.
  • Work with university department IRMA in coordinating data information for reporting purposes.
  • Develop and maintain SSS programming and activities data for student participants, and special student research, company field trips and cultural events.
  • Serve as program registrar, through creation, maintenance, audits and security of all departmental files, including Eligibility and Activity folders, confidential participant tax and counseling information, and departmental staff files via ImageNow Archival project.
  • Conduct departmental outreach and develop working relationships with, and maintain close liaison with, key institutional departments, CAA College Access, DePaul Academic Advising Network (DAAN), DePaul Admission Partnership Program (DAPP), University Counseling, Dean of Student Office, and Financial Aid, particularly serving as liaison for participants with disabilities to the Office of Students with Disabilities, The First Year Academic Success Program (FYAS).
  • Performs other duties as assigned.


Education & Experience

  • Bachelor's degree.


Preferred Requirements

  • Working with low-income, first-generation college students or at least two years of TRiO experience.
  • Five to ten years work experience and management experience.
  • Crisis counseling and holistic advising.


Managerial Responsibilities

  • Provide input and feedback regarding the selection, hiring and management of student employees (4) and interns (4).
  • Develop and deliver employee trainings, employee guidance and professional development.
  • In the absence of Director, approve part-time employee payroll.


Financial Responsibilities

  • Work with the director in providing feedback for the development and management of the Student Employment line item of the TRiO SSS grant budget.
  • The average range of grant funding for this component per year is $29,500 - $31,000.


Certifications & Licenses

  • Undergo specific training from the U.S. Department of Eduction, EDGAR (Education Department General Administration Regulations) and Office of Management and Budget pertinent to the legislation and regulation of TRIO SSS programs specific to the management, implementation, student data organization and record keeping for this grant.


Other Skills & Abilities Reqd

  • Strong commitment to TRiO philosophy and adherence to grant program objectives.
  • Good understanding of holistic advising principles and practices, especially when applied to first-generation and low-income college students.
  • Excellent oral and written communication skills and ability to speak to large audiences.
  • Detailed understanding of DePaul curriculum.
  • Excellent organization and management skills.
  • Familiarity with research and statistical software (Quantitative, Qualitative) such as SPSS, SAS/STAT, NVivo, Qualtrics, Microsoft Office products: particularly WORD, EXCEL, PowerPoint, ACCESS, BlueStar (STARFISH).
