Accounting Services’ mission is to provide significant support to University financial operations by maintaining central administrative systems, performing investment accounting functions, maintaining capital construction records, providing cash management services, and performing other accounting and related duties.
The units within the Accounting Services department are:

Cash Management, including Merchant Card Services.
Construction and General Accounting.
Financial Accounting.
Investment Accounting.

Financial Accounting is responsible for establishing, monitoring, and reporting for Institutional Trust Funds and Special Funds for the Campus. PeopleSoft (PS) chartfield – Sources for gifts and bequests, University auxiliary operations, clinics for professional health services, investment income allocations, agency funds including funds of affiliated foundations, contractual agreements, and other purposes are administered in the PS Financial System. Attributes to categorize and identify the various activities are maintained. Financial transactions such as journal entries and Data Collect batches, and Campus Journal Uploads (flat files) are reviewed, edited and processed. Financial Accounting is also responsible for maintaining and updating allocations, which are sets of steps configured in PS to generate batch journal entries for posting in the PS financial system on a monthly basis.

Position Description

The position is responsible for monitoring, reviewing and approving Data Collect Batch (DCB) journal entries that are imported from external data sources. This position exercises internal control procedures to ensure DCB journals’ accuracy and compliance with accounting principles, University policies. This position determines appropriate and allowable chartfield strings be used for charges to various funds such as state funds, F&A, auxiliary funds and various institutional trust funds. All funds have their own unique rules and regulations to be adhered to ensure compliance. This position develops matrixes of DCB journals and prepares financial reports by analyzing and summarizing DCB revenue and expense information. Aggregated expenses recorded via DCB are $3 billion every year.

This position reviews new finance department project requests, works collaboratively with campus departments and Information Technology Services (ITS). This position evaluates campus business requirements, analyzes accounting information and trends, and advice proper journal source based on analysis of the underlying financial transactions. This position evaluates whether a new journal source is needed to streamline processes, the position serves as the primary liaison between ITS and departments for importing accurate financial data into Connect Carolina.

This position provides journal upload service to campus departments, Dean’s offices, OSR, HR, and other central offices. The purpose is to accommodate needs for high volume transactions, such as cash transfers, Foundation allocations. This position reviews import journal files, analyzes supporting reports and exercises independent control to ensure adherence to general accounting rules, GAAP, State and our university policies.

This position provides oversight of chart of account, review of new account requests, manage account update, and advice of account usage. The duties also include leading campus user trainings, advice on inquires related to financial transaction and best practices, providing interpretation of accounting principal and policy, assisting campus departments to reconcile between PeopleSoft and external data systems, such as Campus Billing Management (CBM) system, Development Davie system, etc.

This position may have additional tasks at month-end and year-end and projects assigned as needed.

Minimum Education and Experience Requirements

Bachelor’s degree with 12 credit hours of accounting coursework; or Associate’s degree in accounting; or Associate’s degree in business or related discipline with 12 credit hours of accounting coursework; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Essential Skills, Knowledge and Abilities

A strong work ethic and a high degree of self-motivation are required. Additional requirements include excellent verbal and written communication skills, organizational skills, above-average Excel skills, reconciliation experience and a demonstrated understanding of accounting and financial systems. Essential qualities include a strong customer service orientation, excellent interpersonal skills. The candidate must be able to manage priorities effectively.

Preferred Qualifications

Experience with UNC systems is preferred, including Connect Carolina (PeopleSoft).
