Departmental Overview

The Human Resources and Academic Personnel department supports the goals and challenges of the law school by providing services that promote a work environment characterized by fair treatment, open communication, personal accountability, trust and mutual respect. We are committed to providing the highest level of responsive, confidential service possible, while serving as a resource of information and expertise to all staff and academic appointees.

This position serves as the primary administrator for the Faculty Appointments Committee (FAC) at the School of Law, and will serve as the lead for Senate and/or Clinical Track faculty recruitment and appointment activities. This position will partner with FAC to draft faculty search plans, will manage AP Recruit for open searches, will coordinate job talk logistics for candidates interviewing on campus, liaison with FAC and the Dean's Office for faculty appointment votes, draft search narratives, create search reports, and draft or coordinate faculty appointment cases for submission to the Academic Personnel Office (APO). The incumbent will manage transition activities for new Senate faculty, such as post-offer visits, hiring and onboarding, visas, and moves. The incumbent will collaborate as needed with internal and external partners, in particular APO and the Office for Faculty Equity and Welfare on campus, as well as the American Association of Law Schools (AALS), and the Facilities team at Law. The incumbent is expected to provide exceptional customer service and positively represent Berkeley Law.

This position involves recommending, developing, implementing, administering, coordinating, and/or evaluating Academic Human Resources policies, labor contracts, statutes, programs, and procedures covering one or more of the following: academic recruitment, appointment, and advancement; compensation and salary administration; faculty welfare programs; visa procurement; benefits; payroll; training and development; faculty misconduct; and faculty equity.

Responsibilities

Faculty Search Committee Support:
  • Coordinates and leads the academic search and/or search waiver process, including the drafting and placement of advertisements, drafting of search plans, and conducting the initial screening of materials submitted for all Senate and/or Clinical-Track faculty searches at Berkeley Law. Proposes strategies to increase the diversity of applicant pools and/or to improve the search process from year to year.
  • Supports FAC throughout the year, reviewing applications in AP Recruit for completion, assessing minimum qualifications for applicants, providing administrative support (incl. responding to candidate inquiries, scheduling of FAC meetings, and AALS conference travel reimbursements, etc.), managing interviews and job talks including faculty and student feedback, coordinating faculty appointment votes with the Dean's Office, drafting search narratives for FAC review, ensuring successful completion of the search report and compliance with AALS and OFEW guidelines.
  • Provides strategic advice and counsel to unit head by analyzing and interpreting system-wide and campus policies, collective bargaining agreements, academic personnel procedures and practices, particularly as these pertain to faculty recruitment.

Senate Faculty Appointment Process:
  • Facilitates/manages the Senate faculty appointment processes, including faculty votes, identifying issues relating to policy and compensation, and any work authorization (visa) issues. Collects or assists in the collection of materials for Senate faculty appointment cases, including the solicitation of external letters of recommendation. Creates appointment cases in AP Bears and drafts or edits departmental recommendations for appointment.

Faculty Onboarding and Transition Assistance:
  • Manages post-offer visits for Senate faculty and the hiring, onboarding, and transition or relocation of new Senate faculty who accept offers to join Berkeley Law. Counsels new Senate faculty, and non-Senate faculty and other academic appointees as needed, concerning moderate to complex work-related problems, particularly as these pertain to appointment, hiring, onboarding, and faculty offer terms. Relocation and transition assistance includes:
    • Leading and facilitating the hiring, onboarding, relocation, and transition of all Senate faculty;
    • Notifying and partnering with Berkeley Regional Services (BRS) and the UCPath Center as needed;
    • Collaborating with Operations and Building Services at the School of Law to ensure office space is ready and available for new faculty, that space configuration is addressed along with any equipment needs, and that a mailbox assignment is secured;
    • Serving as ergonomic evaluator or scheduling an ergonomic evaluation for new faculty hire workstations, and recommending adjustments accordingly;
    • Coordinating with IST at Law regarding computer and phone needs;
    • Notifying Faculty Support Unit (FSU) Manager regarding the need for a new FSU assignment and scheduling introductory meetings;
    • Coordinating with the Communications team at Law regarding new faculty and website or faculty profile updates;
    • Coordinating and/or managing instructor information sessions or other relevant trainings for new faculty.

Senate Academic Appointments or Reviews:
  • Facilitates/manages/assists with the academic appointment and review process as needed for senate faculty, identifying issues relating to policy and compensation.
  • Supports and advises the Dean and Merit Review Advisory Committee (MRAC) at Berkeley Law. Reviews, analyzes, and generates information regarding the quality and quantity of teaching, research, and service efforts by faculty.
  • Drafts and/or edits academic appointment cases, academic personnel reviews, academic appointment letters, exceptional requests and/or other decanal recommendations. Casework primarily consists of senate faculty, including professors, senior lecturers with security of employment, as well as endowed chair appointments or reappointments, and associate dean appointments or reappointments.
  • Reviews and analyzes merit and promotion cases for faculty. Ensures timely submission of academic cases and shepherds them through the review process. Serves as secondary administrative support for MRAC.
  • Facilitates and provides administrative support for faculty discussions of personnel actions. (E.g. scheduling and ballots for faculty votes for mid-career reviews or promotions.)
  • Implements personnel decisions, mostly in partnership with Berkeley Regional Services (BRS), to ensure UCPath reflects current appointment terms.

Additional Duties:
  • Assists in the gathering, reporting, and analysis of data related to faculty hiring and diversity. May include ABA, AALS, OFEW, and other reporting.
  • Analyzes and interprets guidelines and policies to provide advice and counsel to unit clients on issues such as compensation, work-eligibility (visa) matters such as H1-B processing or PR application, and benefits considerations.
  • May assist with non-senate academic recruitments, appointments, reviews or promotions as needed, such as for Academic Coordinators, Specialists, Librarians, Post-Doctoral Scholars, and other academic series, identifying issues relating to policy and compensation.
  • Other AP/HR duties as assigned.

Required Qualifications
  • Requires in-depth knowledge of and ability to apply/interpret UC and campus policies and procedures that govern academic HR, and/or the ability to quickly develop an understanding.
  • Excellent critical thinking skills to address complex issues and present nuanced analyses within policy parameters.
  • Thorough knowledge of system-wide and campus policies, union contracts, procedures and practices that govern academic HR administration and/or the ability to quickly develop an understanding.
  • An understanding of or the ability to quickly develop an understanding of UC's mission and how HR supports this work, as well as the legal and human implications of HR/AP decisions.
  • Advanced technical skills using various computer programs with an emphasis on UCPath, MS Word and Excel, campus systems (e.g. AP Recruit, bCourses, and AP Bears), electronic calendaring (e.g. bCal and Doodle), electronic file sharing (e.g. Box or Google Docs), and email applications.
  • Thorough research, analytical and critical thinking skills, including sound judgement and decision-making with the ability to correctly identify real and potential problems.
  • Excellent interpersonal skills, including political acumen, diplomacy, professional demeanor, and excellent attendance to establish and maintain good working relationships throughout the organization and with outside constituencies.
  • Ability to establish and maintain effective working relationships to work independently and as a productive member of a team.
  • Excellent project management and time management skills, strong attention to detail, and ability to multi-task with demanding timeframes to meet strict deadlines.
  • Excellent oral and written communication skills with superior editing and proofreading ability. Ability to employ active listening skills and the ability to develop persuasive and compelling arguments.

Education/Training:
  • Bachelor's degree in related area and/or equivalent experience/training.

Salary & Benefits

This is an exempt, monthly paid position. The annual salary range of the position is $78,000.00-$85,000.00, commensurate with experience.
