About us:

University Planning Design and Construction provides the University with support through two key services: Campus & Facilities Planning and Project Management; Design and Engineering and Project Development. The team is responsible for campus master planning, space allocation, design & engineering services, costing, leasing, and all construction and renovation projects.

Your opportunity:

The University of Toronto’s Department of Design and Engineering offers a unique opportunity to be involved with renovation and construction work involving a broad range of project types within a diverse range of buildings (e.g. classrooms, wet labs, offices, collaboration spaces). The Department’s projects involve renovations to existing buildings with construction budgets which typically range from $500K to $5M. The goal of the Department is to create innovative solutions to the challenges of incorporating new and changing needs within existing infrastructure which will ultimately contribute to enhancing the built environment for faculty, students and staff in support of the University’s mission.

Reporting to the Director, the Architectural Assistant will enhance the team’s ability to realize this long term goal by providing project administrative support for contract administration (CA) activities for the department’s Project Architects and Architectural Coordinators as well as providing operational administrative support to the Director. Under the personal supervision and direction of the Project Architects on project-related work, the Architectural Coordinators undertake contract administration functions with the assistance of the Architectural Assistant. The Architectural Assistant independently completes tasks for review and approval by the Architectural Coordinator. Administrative support includes project progress reporting, document preparation, document tracking, logging, record keeping, report preparation and archiving. Under the general direction of the Director, the Architectural Assistant will provide administrative support to the Director for various operational tasks as assigned.

Your responsibilities willinclude:

  • Receives, prepares and processes all contract administration (CA) documents (e.g. shop drawings, contemplated change notices, change orders, site instructions, certificates of payment, etc.) for review and approval.
  • Circulates, tracks, files and logs all documentation.
  • Follows up with clients, contractors, consultants and other University departments to obtain required information to complete tasks.
  • Receives documents and reviews against project requirements and follows up on outstanding issues proactively until complete.
  • Maintains paper and electronic records of all CA documents including maintaining document logs and archiving records at close of project.
  • Attends meetings and drafts minutes when required.
  • Maintains knowledge of applicable statutes, regulations, building codes and by-laws; and maintains knowledge of construction documentation standards, approaches and new technologies.
  • As directed by the Director, updates standard forms and procedure documents, prepares drafts of proposals and agreements using templates and other administrative tasks as assigned.

Essential Qualifications:

  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
  • Minimum five years experience working in an architectural office in Ontario undertaking construction document preparation and assisting with contract administration functions
  • Experience with understanding and interpreting construction contracts and processing related documents
  • Good working knowledge of the Ontario Building Code, applicable statutes, regulations and by-laws and experience applying them
  • Exceptional interpersonal and communication skills (both verbal and written) with a strong sense of diplomacy and ability to work in a team environment as well as independently
  • Good judgement and good reasoning skills
  • Strong initiative and independence skills with ability to follow through to see task to completion
  • Demonstrated proficiency in the use of Microsoft Office Suite (Word, Excel)
  • Ability to work in a fast paced environment under pressure while meeting deadlines


Assets (Nonessential):

  • Proficiency with AutoCAD 2016 and 3D modelling software (e.g. Sketch-up)
  • Proficiency with Powerpoint, Photoshop and InDesign
  • Experience with interpreting construction contracts

Pay Scale Group & Hiring Zone: USW Pay Band 10 -- $61,846 with an annual step progression to a maximum of $79,088. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
