Serves as a travel representative, procurement requester/receiver, P-card proxy, property custodian and handles scholarship Foundation disbursements and reconciliations for the Division. Responsible for the review, entry and tracking of travel and expense reimbursements, payments to vendors through ePRF and purchase orders for the Division of Undergraduate Studies. Ensures a sound environment of internal controls and compliance with University policies and procedures are in place by daily monitoring of travel activities using queries & reports. Maintains all files associated with travel activities for the Division. Serves as travel backup for the Center for Academic Retention and Enhancement (CARE) and Honors, Scholars, and Fellows House (HSF).
Responsible for the coding of Purchasing Card transactions (proxy) for the Division. Ensures the appropriate budgets and account codes are utilized, and that a sound environment of internal controls and compliance with University, State and Federal policies and procedures are in place by daily monitoring of queries & reports. Serves as P- Card Proxy backup for CARE and HSF.
Responsible for reconciliations, accountability, maintenance, and reporting of department ledgers for the Division of Undergraduate Studies. Occasionally serves as backup to the front desk for Undergraduate Studies. Assists with handling front desk inquiries, answering telephone and directing calls to the appropriate office/personnel.
Processes scholarship requests for the Division of Undergraduate Studies FSU Foundation accounts and maintains files. Ensures funds are distributed timely and are in compliance with University and donor requirements. Serves as the Property Custodian for the Division of Undergraduate Studies (except CARE) ensuring University and Division guidelines are followed; this includes property acquisitions and transfers, inventory, assisting with office moves, equipment use, and maintaining all property files for the Division.Qualifications A high school diploma or equivalency and four years of experience or a combination of post high school education and experience equal to four years.
Experience prioritizing, organizing and performing multiple work assignments simultaneously.
Experience compiling, reviewing, or reconciling data for accuracy, completeness, and compliance.
Experience working with Microsoft Office, Excel, and other applicable computer applications.
Knowledge of accounting systems and practices.
Experience performing accurately in a detail oriented environment.Anticipated Salary Range Upper 20s to low 30s, commensurate with education and experience.Pay Plan This is an USPS (University Support Personnel System) position.Schedule If not otherwise specified, schedule is M-F, 8-5.Criminal Background Check This position requires successful completion of a criminal history background check.
