Executive Assistant to the Vice Chancellor for Student Affairs

DescriptionThis position is the Executive Assistant to the Vice Chancellor for Student Affairs (VCSA) and the Associate Vice Chancellor for Student Affairs (AVCSA). This position reports directly to the Vice Chancellor for Student Affairs and works closely with all departments that are overseen by the VCSA. The position has a broad range of responsibility and must exercise sound judgment in decision-making, have an ability to establish priorities in completing work assignments, exercise confidentiality, be capable of functioning at a high level of performance with a minimum of supervision, and possess a broad and deep understanding of the university and its culture.

Job Duties:

  • Manage and coordinate the internal functioning of the VCSA office and serve as a representative for the Office of the VCSA
  • Manage the calendars of the VCSA and the AVCSA
  • Manage the timeline for the goals and objectives of the VCSA office
  • Supervise student personnel in the VCSA office
  • Provide executive-level staff support for the VCSA and the AVCSA, including the research necessary for the development of new and or revised policies and procedures
  • Compile data and reports
  • Assist in the administration of various programs and serve as the primary point of contact for the VCSA with faculty, staff, and students, the CU broader higher education community, and the community at large
  • Interpret policies, directives, and regulations to address issues raised by students, staff, and faculty.
  • Provide background briefing for the VCSA in relation to these issues
  • Track student affairs department’s personnel activities including hiring, evaluations, job reassessments, and terminations
  • Manage and coordinate the assigned sections of the UCCS Bulletin
  • Manages and updates content of the Student Affairs website
  • Serve as liaison to those reporting to the VCSA
  • Inform directors who report directly to the VCSA about fiscal rules, policies, and deadlines
  • Coordinate fall and spring commencement exercises with the Chancellors office
  • Answer emails and help students through the process of problem solving in regard to grades, professor issues, financial aid issues and conduct appeals
  • Supports other ad hoc committees as assigned by the VCSA
  • Serve as backup to the division's personnel & payroll liaison

This position has been determined to be exempt from the overtime provisions of the Fair Labor Standards Act (FLSA).

  • The potential dates for the first round of interviews with the search committee will be the week of October 5, 2020.
  • The potential dates for the second round of interviews with the search committee will be the week of October 12, 2020.
  • The potential dates for interviews with the supervisor and appointing authority will be the week of October 19, 2020.
  • The potential employee start date is November 1, 2020.

QualificationsMinimum Requirements:

  • Bachelor’s degree from an accredited college
OR  At least five years of progressively responsible administrator support experience.
  • Three years’ of experience which must include expertise at a CU campus or a comparable university or college
  • Five (5) years of experience managing an executive’s calendar
  • Experience in planning departmental events
Preferred Requirements:
  • At least seven (7) years of progressively responsible administrator support experience
  • Experience with: Pcard, PeopleSoft, PowerPoint, Outlook, extensive experience in a University of Colorado campus
  • Experience in managing website content
